JOB SUMMARY:

Provide clerical assistance and administrative support to Manager of Facilities, as well as facilities staff and immediate supervisors. Maintains all aspects of the building management computerized system.

Performs accounting functions, assisting in the annual preparation of budgets with on-going monitoring of all charges to each location by activity and account.

Ensures timely payment of invoices. Processing of payroll utilizing the Time and Attendance System (KRONOS).

Receive and process work requests for input into the CMMS data stream program, as well as relay instructions to supervisors and maintenance staff.

Assume some supervisory responsibility when assigning staff to emergency calls in absence of the Facilities Analyst and Supervisor.


QUALIFICATIONS:


EDUCATION:


  • Completion of Grade 1 2 year College Diploma in Office Administration

KNOWLEDGE/EXPERIENCE:


  • Minimum of 1 year experience with Kronos, Visa, Peoplesoft etc.
  • Minimum of 1 year of experience in an accounting position or other similar environment.
  • 6 months to 1 year in Building Systems and Maintenance processes

SKILLS:


  • Time and Attendance System(KRONOS)
  • Must possess working knowledge of CMMS database.
  • Terminal Services/Smart stream/Financial Reports/E-Expense
  • On line Access Direct system
  • People Soft
