We are seeking a detail-oriented and organized Administrative Assistant to join our team.

As an Administrative Assistant, you will be responsible for assisting with the day-to-day operations of our head office at Richmond Yards, as well as supporting all of our properties.

The position is based out of our new head office and will report to the Human Resources Business Partner.

Duties Will Include:

  • Greet and assist residents, walkins, vendors, and clients, announcing their presence to the appropriate individuals.
  • Answer, screen, and forward incoming phone calls & provide basic information when requested.
  • Monitor and order office supplies for all of our buildings, as well as kitchen supplies for the head office.
  • Conduct a walk through of the head office daily, ensuring the kitchen, bathrooms, boardrooms, etc. are clean and fully stocked, including running and emptying the dishwasher.
  • Compile residential work orders by phone or walkins and forward to the Tenant Account Manager.
  • Forward commercial inquiries to the Commercial Property Manager.
  • Issue receipts for cash payments of rent, parking, remotes, FOBS, etc., and forward accordingly.
  • Receive, date, and distribute incoming/outgoing mail, couriers, packages, etc.
  • Schedule and prepare the boardrooms for meetings.
  • Organize staff social events, such as office lunches.
  • Decorate the office for the holidays and maintain a log of gifts and cards received from vendors/tenants.
  • Organize and distribute birthday and other cards for staff celebrations and milestones.
  • Occasional assistance with creating/laminating signs, creating memos, etc.
  • Other administrative projects and responsibilities as assigned.

Your Qualifications:

  • Administrative Assistant experience and/or education considered an asset.

A people person with strong customer service and communication skills
:


  • Exceptional organizational skills with the ability to multitask and prioritize.
  • Selfmotivated, takes initiative, and great time management.
  • Team player who also possesses the ability to work independently.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)
