Westcoast is looking for
Permanent Part-time (28 hrs. per week) Payroll Specialist to work with our Vancouver team.
With assistance from the Director of Finance, the Payroll Specialist is responsible for processing the bi-weekly payroll, in addition to the municipal pension plan, and paid time-off entitlements.
Responsibilities:
- Process biweekly payroll for all unionized and exempt staff, hourly and salary employees
- Reconcile taxable benefits for payroll
- Prepare vacation payouts for offboarded employees
- Track sick leave used by union staff and payout according to criteria
- Calculate statutory holiday pay per employment standards and Collective Agreement requirements
- Maintain and update employee pay records and reports; ensure information is accurate and up to date
- Respond to and resolve payroll related inquiries, with support from the Director of Finance
- Process expense and mileage reimbursement to employees through biweekly payroll based on the information provided by Finance.
- Track employee hours worked and adjust pay rates for step increments per the Collective Agreement
- Enter new employee information into the payroll database systems; maintain up to date employee records
- Prepare record of employment (ROE) for terminated and/or leave of absence employees
- Calculate and update employee time off entitlements
- Prepare reports for supervisors regarding employee time off balances
- Communicate vacation booking deadlines to all staff during the year
- Calculate annual additional hour entitlements no later than February of each year for the hours worked in the previous year
- Prepare biannual seniority lists
- Prepare yearend tax forms (T4s and T4As)
- Prepare quarterly Workers Compensation statements and earnings calculations for claims
- Complete paperwork for approved Union leaves for reimbursement from BCGEU
- Prepare and upload the monthly Union Dues report and provide Finance with the request to pay dues each month
- Perform regular audit checks for MPP enrollment
- Process MPP Enrollments and EITR (termination) reports
- Prepare the annual MPP payroll report for purpose of MPP T4A preparation
- Prepare the MPP remittance worksheet
- Prepare the annual CSSEA survey
- Prepare calculations for wage loss requests
- Assist the Director of Finance with annual financial audit information related to payroll and benefits, specifically the Schedule 3 information for the Charity Return
- T2200 prep
- Prepare annual vacation accrual report
- Prepare annual Worksafe BC report in addition to the quarterly reports
- Download and reconcile the benefits statements
- Reconcile and keep track of benefit payments from employees on leave, sending reminders as necessary and annual summary statements of amounts paid
- Other related duties.
Job Requirements:
- 3+ years hands on payroll or accounting experience
- Experience administering payroll within a unionized environment considered an asset
- Knowledge and experience with Powerpay by Ceridian an asset
- Detail oriented, good with numbers and catching inconsistencies
- Able to administer payroll every two weeks by the deadline; able to selfmanage work and prioritize responsibilities
- Satisfactory Criminal Record check.
