Support Staff Full-time Replacement Position

(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)

The Admissions Officer is responsible for the admissions process for all Conestoga College programs.

They admit qualified applicants to post-secondary, graduate, and degree programs by coordinating admission activities which support the college enrolment plan.

They demonstrates a deep knowledge of Domestic Admissions by responding to program and admission related questions, informing applicants of decisions, advising them on appropriate action, and interpreting admission requirements and selection criteria for the client.


Responsibilities:


  • Planning and coordinating the implementation of mandatory information sessions; setting up meetings with Chairs/Deans
  • Developing, maintaining, and reviewing procedures, office routines and schedules
  • Verifying and editing deadline management dates on the system which creates expiry dates on the applicant's correspondence and the information transmitted to OCAS
  • Loading new programs and modify existing programs in online Student Information System (SIS) including all admission information, program requirements, process order, conversion bonus, program bonus, weighting, minimum cutoff, letter notes, etc.
  • Monitoring daily electronic error transmission reports received from and sent to OCAS and taking action as required
  • Assisting with user acceptance testing activities, including testing functionality supporting various admission business processes and/or new initiatives and procedures.
  • Ensuring that all qualified applicants have met the published Ministry and College admission requirements and selection criteria including english proficiency (IELTS, PTE, TOEFL, or other recognized tests), and minimum grade requirements
  • Recording applicants' status changes on the Student Information System and initiating all correspondence with applicants
  • Monitoring time limitations for the receipt of information requested from applicants (e.g. transcripts, confirmations, payment of fees) and communicating with applicants who have not met the deadlines; authorizing extension of deadlines for applicants
  • Setting minimum academic and selection benchmarks based on previous statistical reports and experience in consultation with the Associate Registrar, Program Coordinator, Chair and/or Dean
  • Independently setting first round admissions cut offs and making subsequent decisions, based on academic and selection benchmarks
  • Developing, managing, and updating wait lists for specified programs, admitting new students as spaces become available
  • Using judgment to make alternate offers to suitable programs taking into consideration academic qualifications and other program choices to ensure applicant retention, increase numbers in undersubscribed programs and encourage pathways to support the college enrolment plan
  • Reviewing the admissions process with College Registrar/Associate Registrar and making recommendations for implementing and refining admission procedures and systems
  • Liaising with the International admissions office, Records and Financial Adi staff, and the Recruitment/Registrar departments
  • Representing the college at all campuses and open houses
  • Delivering presentations to specific groups such as Prehealth Science students and providing information regarding admission to other programs at the college

Qualifications:


  • Twoyear Diploma in Office Administration, Business, Social Science, Information Technology, or related field is required
  • A minimum of three years of practical experience in student/client services is required
  • Experience working with multiple large database systems, ideally in an educational environment is considered an asset
  • Related practical experience working with a diverse clientele, including newcomers to Canada and new Canadians is considered an asset
  • Experience working in an educational environment is considered an asset
  • Excellent interpersonal and public relations skills
  • Excellent oral and written communication skills; excellent listening skills
  • Effective organizational and time management skills, with demonstrated ability to work under pressure and in demanding situations
  • Highly developed client service skills and ability to respond and problem solve with tact, diplomacy, discretion, and professionalism
