Description

We are seeking an experienced and highly organized Executive/Administrative Assistant to provide comprehensive administrative support to the owner/director of multiple businesses.

This is a full-time position based in Toronto, ON.


Responsibilities:


  • Manage the calendars of the executive across multiple businesses, scheduling and confirming appointments and meetings as required
  • Coordinate travel arrangements, including flight bookings, hotel reservations, and car rentals across multiple businesses and industries
  • Prepare reports, presentations, and correspondence on behalf of the executive across multiple businesses and industries as required
  • Conduct research as needed to support the work of the executive across multiple businesses and industries
  • Act as a liaison between the executive and internal and external stakeholders across multiple businesses and industries
  • Work with government and consulting organizations to ensure mandatory tasks are completed as required
  • Maintain records and files across multiple businesses and industries, ensuring accuracy and completeness
  • Some bookkeeping work may be required
  • Handle confidential information with the utmost discretion and professionalism across multiple businesses and industries
  • Handle correspondence and communication with internal and external stakeholders on behalf of the executive, responding to inquiries as appropriate.
  • Serve as a liaison between the executive and other staff members or departments
  • Proactively identify opportunities to improve administrative processes and make recommendations for process improvement across multiple businesses and industries

Requirements:


  • 3+ years of experience in a similar administrative support role
  • Excellent organizational skills, with the ability to manage multiple tasks and prioritize effectively across multiple businesses and industries
  • Strong communication skills, with the ability to interact professionally with individuals at all levels of the organization across multiple businesses and industries
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
  • Experience in managing and monitoring social media for the business will be considered an asset
  • Experience working with highlevel management preferred, ideally with experience supporting multiple businesses and industries
  • Bachelor's degree or equivalent experience in business administration, communications, or a related field

Salary:
From $52,000.00 per year

Ability to commute/relocate:

  • Greater Toronto Area, ON: reliably commute or plan to relocate before starting work (required)
