About the Role
We have an opening for a full-time Administrative Assistant to answer phones and greet customers in person.


This individual must be someone who has a strong sense of customer service, is comfortable working alone, and willing to support a small team; must be a motivated self-starter who is looking to grow within the company.


We are looking for someone who is available Monday to Friday (7:45 am - 4:30 pm) working in the office located at 5291 Bethesda Road in Stouffville (L4A 7X3).


Roles and Responsibilities

  • Answer and manage inbound telephone inquiries and visitors with a keen focus on customer service and professionalism
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence
  • Provide administrative support to all departmental members
  • Complete and review all expense reports, invoices, and other relevant monetary documents
  • Coordinate departmental office activities,including social events
  • Maintain a high level of confidentiality in all interactions.
  • Maintain and monitor office supply inventory levels and place orders as required
  • Under the direction of the Sales and Operations Manager, manage janitorial, cleaning, repair, and maintenance service provider contracts and service level agreements
  • Support Human Resources with recruitment, onboarding and health and safety requirements
  • Other duties, relevant to the position, shall be assigned as required

Requirements:


  • 12 years' experience as an Administrative Assistant, or relevant role, considered an asset
  • Experience with Human Resources administration considered an asset
  • Excellent customer service skills, interpersonal, organizational, and communication skills
  • Strong problem identification and objection resolution skills
  • Ability to build and maintain lasting relationships with customers
  • Strong verbal and written communication skills
  • Ability to perform basic mathematical calculations
  • Ability to work individually and as part of a team
  • High level of integrity and work ethic
  • Strong customer service orientation
  • Superior telephone manners and strong interpersonal skills
  • Proficient use of various office based software, including Microsoft
  • Excellent analytical and problem solving skills
  • Highly organized
  • First Aid skills and/or certificates are considered assets

Work Conditions

  • Ability to work inperson / inoffice
  • Hours:
Monday to Friday 7:45 am - 4:30 pm (includes 30 minute paid lunch)

  • Manual dexterity required to use a desktop computer and peripherals.
