DEPARTMENT/ DIVISION DESCRIPTION

JOB RESPONSIBILITIES FOR GROUPS SUPPORT COORDINATOR

  • Converting quotes to bookings (includes preparation of invoice and passenger information form)
  • Processing of incoming payments via online payment site
  • Request payment refunds
  • Pay airline deposits as required
  • Requesting supplier payments and ensuring the supplier is provided with confirmation of payment
  • Tracking all payments paid to airline/supplier on file on profit summary
  • Quote insurance for US Residents
  • Requesting group air ticketing with Goway ticketing team
  • Handling and finalizing bookings for group specialists (includes formatting of itinerary, etickets, preparing rooming list, supplier contact & tip sheet)
  • Printing/packaging of documents to be couriered to client (Hard doc requests)
  • Preparation of profit summary for each group that travels
  • Request agent commission/overpayments
  • Aid and troubleshoot when asked by team members.
  • Use local booking systems, and Amadeus to confirm bookings and generate documentation for booking agent.
  • Assist with airline bookings and quotes if needed
  • Book deviations for the group as required
  • Assist with HOL Operations and Documents as required
In the absence of a Group Specialist the Group Assistant will be responsible for the following:

  • Ensure that all groups that absent agent is handling are taken care of and are looked after
  • Action any requests made by subagent in a timely and efficient manner
  • Ensure that all contract, payment and cancellation deadlines are met
  • Troubleshoot and aid subagents as necessary.
  • Update all applicable spreadsheets
  • Communicate with booking agent/direct client

KNOWLEDGE, SKILLS & ABILITIES

  • High school diploma and successful completion of a Travel & Tourism diploma
  • Ability to handle multiple tasks and conflicting deadlines and willingly take on new tasks as deemed necessary by manager and/or group coordinator
  • Strong interpersonal, communication and time management skills
  • A strong team player and must be detail oriented with sense of urgency
  • Proficient in the use of Microsoft Office Suite and basic knowledge of Amadeus
  • Strong writing/grammatical skills and knowledge of Goway's product/destinations
