We are seeking an organized, detail-oriented self-starter to organize pre-hearings and hearings and provide support to the College's Discipline and Fitness to Practise Committees.

Reporting to the Manager, Policy, Governance and Hearings, the key areas of responsibility are to:

  • Coordinate hearings and pre-hearing conferences, including logistics such as scheduling panels of the Committees, virtual meeting and or physical facilities, and securing the assistance of various service providers.
  • Attend all prehearings and hearings; enter and maintain all exhibits; support the prehearing Chair and panel; facilitate access for members of the public; and advise the Manager, Policy, Governance and Hearings of the status of proceedings.
  • Respond to public inquiries about pending hearings and hearing outcomes.
  • Communicate with prosecutors, early childhood educators/their representatives, and staff throughout the hearing process.
  • Prepare decision templates and provide administrative support to Committees to assist with timely delivery of decisions, ensure proper translation and distribute final decisions.
  • Update the College's website, including the public register, with current information related to hearings.
  • Track appointments to the College's roster of eligible panellists for the Discipline, Fitness to Practise, Complaints and Registration Appeals Committees.
  • Review and process third party accounts for payment as directed.

Qualifications

  • Two or threeyear college program (law clerk or paralegal preferred) or three or fouryear university degree. Alternatively, 13 years' commensurate experience.
  • Understanding of administrative law concepts, principles and terminology, such as conflicts of interest, bias, fairness and transparency.
  • Experience with administrative tribunal processes, procedures, management and decorum.
  • Understanding of legal documents, bylaws and Rules of Procedure.
  • Understanding of confidentiality and professional boundaries, as well as data/information management and privacy law requirements.
  • Effective and diplomatic written and oral communication skills to prepare documentation for meetings, prehearings and hearings; to communicate with parties, various service providers and Committee members; and to respond to public inquiries.
  • Ability to exercise good judgment and maintain neutrality, including while providing support to Committee members and when handling sensitive and confidential information.
  • Strong skills in using a variety of digital tools, including Zoom, Microsoft Office, SharePoint, and Adobe Acrobat.
  • Ability to complete detailoriented tasks while managing competing responsibilities and deadlines.
  • Flexibility to work well independently and in a team environment with changing priorities.
  • Bilingual (English/French) is an asset.
