Strata Engineering is currently seeking a Project Administrator for our Burnaby Head Office.

As a Project Administrator, you will provide support to our team of Project Managers and Project Coordinators and assist the Office Manager in facilitating the seamless operation of the office.


Core responsibilities of this role include:

Client Communication and Front Desk Operations

  • Greet and welcome visitors, clients, and employees with a friendly and courteous attitude.
  • Act as the face of the organization, maintaining a positive and welcoming image.
  • Assist the Office Manager with inventory records and management of office resources and the implementation of onboarding procedures for new hires.
  • Effectively manage all front desk activities to ensure a smooth and efficient flow of operations, including:
  • Handle phone calls with utmost professionalism, directing calls to the appropriate departments and taking messages when necessary.
  • Provide prompt and accurate information in response to inquiries and direct visitors to the appropriate personnel.
  • Receive, sort, and distribute incoming mail and deliveries and coordinate outgoing mail and packages.
  • Act as liaison between building managers and staff.

Project Administration

  • In response to requests for quotations, communicate with clients to understand their project requirements and gather relevant information to prepare proposals.
  • Collaborate with internal teams to define project scope and prepare, issue, track, and followup on proposals.
  • Supporting the team with project tasks, including document requests, bookings, coordination of deadlines, and general Client coordination.
  • Coordinate the scheduling of inspections and site visits according to project timelines and team availability and ensure that all necessary access and resources are available for scheduled inspections and site visits.
  • Create, distribute, and compile Clientfilled surveys and questionnaires.
  • Assist in the issuance of reports, presentations, and other documentation as directed by the team leads.
  • Maintain CRM system, including updates to proposal, project, and contact information.
  • Prepare data reports from CRM system based on information required by the team leads.

Qualifications:


  • Degree or other formal education with a focus on business administration/communication. Background in architecture, engineering, building science, or construction is considered an asset.
  • 2+ years experience as an administrator or coordinator in an engineering/construction environment.
  • Proficiency with MS Word, Excel, Outlook, and Adobe Acrobat.
  • Highly organized and competent in prioritization of work.
  • Eye for detail and passion for quality.
  • Experience in communicating and managing stakeholder expectations.
  • Professional English language proficiency and fluent in verbal and written communication.
  • Proficient ability to communicate Clients' needs to the team.
  • Eligibility for employment within Canada.
