Working with the corporate Facilities team located in Ottawa, the Facilities Coordinator will be responsible to maintain office equipment, physical space and building security, including monitoring meeting rooms, kitchens and public areas are organized and equipment provided is in good working order and materials are readily available, as well as handling building equipment emergencies on an ongoing base, liaise with company employees and outside contractors, and provide support to all aspects of the Facilities team.

You will be part of a core team that directly contributes to Ross Video's success.

What the job is all about:

  • Coordinate minor building service issue fixes with landlord/service company; escalate major issues to management.
  • Handling building equipment emergencies on an ongoing basis and liaising with company employees, external contractors, and landlords. This includes reporting and resolving any issues with plumbing, electricity, heating, ventilation, air conditioning, security systems, fire alarms, etc.
  • Monitoring that the meeting rooms, kitchens, and public areas are organized, and the equipment provided is in good working order and materials are readily available. This includes confirming audiovisual equipment works, ensuring cleanliness and hygiene standards, and replenishing consumables including soft drinks, coffee etc.
  • Providing support to all aspects of the Facilities team, such as coordinating office moves, managing inventory, ordering supplies, and arranging deliveries. This includes maintaining records of assets, contracts, invoices, receipts, and inventory levels, as well as ensuring compliance with health and safety regulations and company policies.
  • Provide backup coverage at main reception as required daily for breaks and lunches.
  • Monitor the active jobs logged on to the help desk and ensure work is completed in a timely manner.
  • Assisting with issuing and cancellation of security badges and users in the Ottawa sites as required.
  • Manage key & lock changes and coordinate ordering of supplies as needed.
  • Interacting with internal customers and dealing with their requests in a professional and expedient manner.
  • Assist with project implementation as required.
  • Management of space, provide seating assignments, and ensure seating charts are kept up to date and coordinate all Moves Adds and Changes (MAC's) for internal staff and seating reorgs.
  • Perform other related duties as required.

Who you are:


  • College or university education is preferred.
  • Skilled in professional communications, whether written/paper, written/electronic, or verbal
  • Experience in customer service environment is required.
  • Proficient in MS Word, Excel, Access & Visio is required.
  • Knowledge of commercial building alarm systems an asset.
  • Knowledge of Provincial Health & Safety regulations an asset.
  • French, Spanish, or other languages are an asset.
  • Valid Driver's License with vehicle required for occasional travel to Ottawa sites.
  • Knowledge of commercial building alarm systems an asset.

  • Experience assisting with shipping & receiving an asset.
  • Experience with Reception duties an asset.
  • Selfmotivated and highly organized
  • Strong verbal communication and interpersonal skills,

  • Occasional heavy lifting which could include moving up to 75 lbs on a hand truck.
  • Frequent walking between several buildings at the Ottawa Campus
  • Frequent carrying and stacking of boxes of various sizes and weights.
