Administrative Assistant at Riverside College

(Mission Public Schools)

Summary


Working under the direction of the school administrator the Administrative Assistant - Riverside College / Continuing Education assists in the day to day administration of the college.

While some of these duties are of limited complexity, other duties involve a series of tasks that are more complex.

Employees in this position must work effectively with interruptions.

The distribution of office duties varies among the administrative assistants, and certain duties may be performed on either a regular or back-up basis.


Some independence of judgment, based on a good understanding of school and district policies and guidelines, is a component of the position.

The incumbent will be required to adapt established methods of procedures and the work involves a choice of methods.

The Administrative Assistant may adjust the work schedule in anticipation of, or to meet, changing priorities throughout the school year.

Unusual or difficult problems are referred to the School Administrator, or to the appropriate resource person at the school board office.


Duties include, but are not limited to:

Provide administrative support to the school:

Process and maintain accurate records/systems for student and adult program & academic (Continuing Ed) registration and information, SKILLEDTRADESBC registration of Youth Train & Work in Trades, scheduling, timetabling, school set up, records, student certifications, files, lockers, student parking/license plate records, apprenticeship documentation, work-based training hours, report cards etc, archived records (Diplomas, transcripts, PSR etc.)



Attend Staff Meetings, including preparing Agendas and taking Minutes

Schedule program information sessions, entrance assessments, interview intake meetings with Principal and/or Counsellor, industry training exams, internal certificate courses (FoodSafe, WHIMIS, First Aid)


Perform a variety of clerical functions such as photocopy materials, forms, newsletters; prepare correspondence, process incoming/outgoing mail, maintain the school website, office supplies, work orders etc.

Process financial accounting and purchasing records, including payments to vendors, purchasing resources, receive money and issue receipts for a variety of payments made by students and outside organizations; reconcile cash, petty cash, receipts, bank accounts and g/l accounts; maintain basic accounting related records in accordance with District policies and procedures; may be required to deliver bank deposits


Issues tax forms, arranges funding, assists in financial audits, works with tuition fees and tuitions, participates in the 1701 funding process.

Prepare, check for accuracy, and submit approved reports as required: SkilledTradesBC, Ministry of Education etc.(1701 for 3 funding periods, TRAX, SADE, PENS)

Assist with preparing school budget as requested

Perform other related duties as may be reasonably expected of a person in this position

Required Qualifications

Successful completion of a program of up to two years in a recognized administration, business, accounting or finance program

Completion of Grade 12

A clear criminal record review to be updated every five years

Required Experience

Over one year up to and including two years of relevant experience

Required Skills and Abilities

Knowledge and ability to use various software programs including word, excel and databases (e.g. Microsoft office)

Knowledge and experience in office practices and procedures and experience in basic bookkeeping

Excellent organizational skills and superior attention to detail in preparation of correspondence, reports and other materials

Ability to mange and implement a multi-step registration and student intake process

Strong ability to communicate program requirements and pre-requisites needed to students, parents and community

Ability to produce detailed reports and accounting records as needed by school and district as a whole

Ability to communicate effectively and demonstrate good public relations skills, exercising good judgment in dealing with a variety of enquiries

Ability to set up formats and compose non-routine correspondence with general instructions from a supervisor

Ability to be flexible and work co-operatively, and maintain effective working relationships

Preferred Skills and Abilities

Proficient in the use of school-based software such as MyEdBC

Working knowledge of school district operations, policies and procedure

Working knowledge of Dual Credit Management System (DCMS) software

Working knowledge of School Cash software

Knowledge of High School and Adult graduation requirements


Current Wage:
$27.88/hr with generous benefit package


Full time Position: 35 hrs/week
