Description

The Project Administrative Assistant plays an essential role in the administrative and operational support of a major construction project at one of our famous client.

She/He assists the Construction Manager in the daily management of activities, thus contributing to the smooth running and success of projects.

On a day-to-day basis, his/her tasks will include but not be limited to:

  • Assist the Construction team(s) with administrative support;
  • Perform administrative tasks such as preparing documents, maintaining records, managing communications, and writing site reports.
  • Collaborate and keep the lines of communication open when working with team members, project stakeholders, trade partners, or any other parties.
  • Coordinate site meetings, including preparing the agenda, taking notes and distributing minutes to stakeholders.
  • Monitor deliveries of materials and equipment to the site, coordinating delivery schedules with subcontractors and suppliers.
  • Jump in right from project startup to assist with key documentation and drafting of contract;
  • Keep on top of subcontracts and ensure key information is updated and distributed accordingly;
  • Adapt to project changes by updating project presentations;
  • Take charge of project invoices and ensure transmission to our Accounts Payable team;

PROFILE:


  • 5+ years' administrative experience;
  • A College Diploma in the field of Office Administration, or a combination of education and industry experience;
  • Solid written and verbal communication skills;
  • Good organizational skills and ability to manage multiple tasks simultaneously in a dynamic environment.
  • Knowledge of project management and office software, such as MS Office
  • Ability to work independently and as part of a team, with a strong commitment to quality and customer service.
  • Attention to detail and ability to work with precision and rigor in an environment where meeting deadlines is essential.
  • Strong computer skills with enthusiasm for innovation;
Our client is based in Scotford and requires onsite work.




Schedule:
Mon to Fri - 10hrs/day
