The South Shore Regional Centre for Education (SSRCE) practices the culturally responsive pedagogy approach in providing an inclusive, diverse, equitable, safe and healthy education that supports learning and success both personally and academically to the 59,000 residents of Lunenburg and Queens Counties, an area of 5,250 square kilometres and a total of 23 schools.

  • Qualifications:
  • High School diploma and Business Diploma with payroll/accounting emphasis.
  • Very proficient in the use of Microsoft Office software (Excel and Word is essential)
  • Previous work experience as a payroll clerk would be an asset.
  • Knowledge of SAP, Time Entry (CATS), Quotas and Time Management would be an asset.
Task Dimensions
The Payroll Clerk shall perform all payroll duties under the direction of and reporting directly to the Head Payroll Clerk


For example:

  • Ensuring proper work schedules are in place so absences are recorded properly i.e. Parttime employees with various work schedules.
  • Ensuring proper rate changes are in place i.e. ERIP rates, pay differentials.
Tracking long-term substitutes, ensuring start dates, end dates, rate changes, and quotas are in place.

  • Ensuring data entry submissions comply with the applicable contracts (Non-Union, CUPE, SEIU,
    NSGEU, NSTU provincial and local agreements).
  • Monitoring sick, vacation, special leave quota as necessary for all employee groups and notifies HR as necessary.
  • Entering necessary adjustments to ensure employees are paid correctly i.e. vacation earnings adjustments.
  • Providing data to Accounts Receivable Clerk for time entry that is to be billed to a school or other customers i.e. Department of Education.
  • Establishing quota banks and assisting in quota balances as necessary.
  • After each pay, processing Records of Employment (ROE). Processing ROE's when requested by employees. Processing ROE's in December and March as requested by employees. Processing ROE's at mass layoff in June (end of school year).
  • Processing Employment Insurance request forms for Service Canada as requested.
  • Assisting in the processing of T4 production and Year End processing.
  • Downloading pay stub information from Department of Education server, checking information for errors, and printing and distributing pay stubs.
  • Assisting with (cross training) teacher payroll reconciliation and salary calculations as well as maternity leave calculations.
  • Assisting with garnishments as necessary.
  • Post Pay verifying new hires first pay is correct by checking deductions and rate accuracy.
  • Post Pay casual journal reconciliation and checking for accuracy.
Ensures all absences and attendances are recorded correctly in SAP


For example:

  • Providing support to school and central office staff regarding proper time entry processes and proper code use and quotas.
  • Tracking and ensuring time entry for special approvals or vacant positions are correct i.e. extended hours, vacant PSA positions, tutoring approvals, NSTU PD approvals and other such code approvals.
  • Maintaining teaching and nonteaching attendance and absence codes and time entry spreadsheets.
  • Investigating and correcting spool file errors pertaining to time entry as directed.
Performs other administrative services


For example:

  • Processing address, TD1/TD1NS, and bank changes to employee master data as required.
  • Preparing employment verification letters and other such correspondence as requested by employees.
  • Providing support to other payroll staff.
  • Answering employee and other payroll related inquiries.
  • Filing personnel and payroll documents, as required.
  • Running reports as necessary from the SAP HR/payroll system.
  • Complies with the Occupational Health and Safety Act and Regulations.
  • Performs other related duties as required.
