Client Intake Responsibilities include:


  • Following established intake process to successfully and smoothly onboard new clients and ensure charts are complete for existing clients
  • Responding to client intake calls and contact forms within 24 hours
  • Matching clients with best fit therapists for personality and expertise
  • Advising potential clients on therapy process
  • Extensive use of Jane App.
  • Maintaining the client intake log based on practice guidelines
  • Ensuring all intake forms are completed and uploaded to our electronic medical records (EHR) system
  • Charging clientprovided credit or debit card for each session
  • Other duties as needed/assigned

Records Documentation Responsibilities include:


  • Sending new and needed updated intake documents, ensuring completion, with necessary signatures
  • Uploading all intake and supplementary documents to new and existing clients' charts, noting any missing or needed documentation, so clinical/administrative staff can ensure completion
  • Other duties as needed/assigned

Conduct Complex Screening

  • Meeting with clients presenting at Joshua Tree for a 1530 minute triage and screening appointment to determine service needs
  • Collaborating with all clinical and administrative staff to ensure optimal care
  • Informing Clinic Manager about current wait times for service
  • For clients waiting to access service, the coordinator will determine level of urgency, and in consultation with the manager, determine client assignment amongst the team based on clinicians' skill set, expertise and availability.

Crisis Triage, Referrals and Outreach

  • The Coordinator provides supportive intervention in crisis situations through instructing and informing other members of the team on the client's situation, as well as identifying possible problems and possible appropriate actions.
  • The Coordinator Identifies clients at risk, and when determined to be an emergency, referring the client to the staff member available for crisis appointments
  • Maintaining a good working relationship and ongoing communication with referral sources, acting as a resource, and maintaining cooperative working relationships with staff, students, faculty and community agency representatives

Required Qualifications

  • Completion of a minimum of a Bachelor's degree in Social Work or other comparable field is necessary
  • Licensed, or eligible to be licensed within a Regulated Mental Health Profession in Saskatchewan
  • Clinical and administrative experience in a medical or mental health capacity
  • Must have strong organizational skills, strategic thinking ability, and excellent communication and collaborative skills.
  • Must be sensitive, assertive and have a strong understanding of mental health in order to answer questions, reassure, educate, advise and guide individuals through the initial stages of screening and referral
  • Must demonstrate an awareness of diversity with sensitivity to areas such as: age, culture, ethnicity, gender, sexual orientation, and socioeconomic class.
