HOURS:
7 hours per day, 5 days per week, 11 months per year***:Under the supervision of the Workplace Safety & Health Officer and a Divisional Principal, the Administrative Secretary will
work in a team environment providing administrative and secretarial assistance for Practical Arts and Workplace Safety &
Health. The incumbent will be responsible for secretarial functions such as word processing, drafting correspondence and
stories, meeting preparation, record keeping, appointment scheduling, purchase requests, budget monitoring, and filing.
The incumbent will also be responsible for researching, compiling and preparing reports and statistical information. The
Administrative Secretary will be responsible for replying to inquiries on Division administrative guidelines, liaising with
schools, and communicating and liaising on behalf of the departments between various agencies, individuals and
organizations within the education network. The incumbent will be responsible for a wide variety of computer functions
such as designing, formatting and implementing databases using divisional systems and advanced spreadsheet functions
for data manipulation and analysis; advanced desktop publishing to produce documents, reports, and digital presentations;
official languages, English and French, is an asset.


REQUIRED AND PREFERRED QUALIFICATIONS:


Education and Training:

-

completion of a minimum 1 year diploma or certificate program in administrative assistant, secretary, office

administration or related discipline is required from a certified business school or community college (keyboarding,
administrative procedures, records management, basic (L1) accounting, business math, business writing and grammar,
business computing (MS Office Systems), advanced word processing, basic Excel and Power-Point, office
professionalism, event planning and management, and customer service).


Experience, knowledge and skills:

-

three years of recent experience in a senior/head secretary or office manager role. An equivalent combination of related

experience, training and education may be considered
- flexibility with work hours may be required
- advanced word processing and document formatting skills
- excellent written communication skills
- advanced digital presentation skills (PowerPoint, Prezi, MS Sway), and experience in a SharePoint portal environment
- strong spreadsheet skills, including advanced data management, manipulation and analysis abilities
- initiative, strong organizational and prioritization skills, and time management ability
- ability to work effectively as a team member and independently
- excellent public relations and external communication skills
- demonstrated a high level of ability to work co-operatively and harmoniously with colleagues and management
- ability to learn new software programs and to adapt to technology changes
- efficient keyboarding skills
- good understanding of the role of confidentiality and privacy issues in a school division setting
- previous experience with computerized student record systems preferred (Tyler SIS)
- basic understanding of accounting theory and procedures
