Property Administrative Assistant


Reporting to the Property Director, this position is accountable for providing tenant coordination and administrative support to the property management & operations team and reception relief as necessary.


They are responsible for:


Assisting Property Managers and Leasing team as required, in the preparation of reports, forms, memos, monthly payment letters, input for budgets and reforecast on Yardi, the financial accounting system.

Assisting Managing Director, Asset Directors and Property Director with communication, organization, preparation of expense forms, booking travel, as required.
Provide support for boardroom use within the office including understanding of equipment and systems required for presentation purposes.
Assisting with the Set-up Purchase Orders in the Purchasing System and communicating the same to contractors and team members.

Provide administrative support to keep track of tenant insurance; read and understand lease requirements; follow up with tenants; keep tenant insurance binder and schedule of insurance list updated.

Providing administrative support including word processing, filing, copying, scanning, maintaining records, communication for staff/tenants.
Maintain filing system, tenant records, contract binders, manuals and tenant database for addresses and contacts.
Order office supplies, maintain office equipment and ensure the efficient operation of the office as required.
Provide administrative assistance for all Managers and Directors as required from time to time.


Requirements:

Post secondary education is an asset
Proficient computer skills, including workding knowledge of

Microsoft Office:
Word, Excel, PowerPoint
Excellent customer service skills with ability to deal with evolving tenant needs
Proven organizational skills; ablility to cope with changing tenant needs and deliver successful results within agreed upon time frames
Excellent verbal and written communication skills
Detail oriented; able to resolve problems using facts and sound reasoning
Self motivated, professional and flexible; ablility to work both independently and as part of a team
