SUMMARY:
An important support position, the Administrative Assistant provides right-hand support to the Senior Administrator in managing the various recurring administrative and clerical tasks of the business.
The Administrative Assistant also provides out-of-office relief to the Senior Administrator and will be cross-trained on additional clerical duties, such as Purchasing and Accounts Payable.
Best suited to a self-disciplined individual who has previous experience in accounts payable (data entry) and working in a Trucking and/or Aggregate business.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
These tasks are strictly an outline of essential duties & responsibilities; any other duties may also be assigned when required.
- Data entry of trucking and delivery related information using Apex aggregate billing software
- Scan and digitally file trucking documentation, employee timecards, delivery advices, packing slips, and other administrative documentation using Sage Paperless document management software
- Match and verify accounts payable documentation, in preparation for payment.
- Data entry of employee and equipment time using B2W track software
- Assist the Senior Administrator with customer billing preparation.
- Assist the Senior Administrator with customer statement issuance.
- Provide vacation relief for the Senior Administrator
- Provide clerical support at remote offices from time to time - ie: Linterra Landscape Centre and Cultus Lake quarry.
- Provide additional clerical support when/where required, as directed by the Senior Administrator
- Assist in reception of Landscape depot as needed (greeting, taking payment and general product knowledge)
- Paper filing duties ensuring office is kept tidy and presentable at all times.
- Receiving payments and additional administration and accounting tasks as required.

ESSENTIAL SKILLS:
- MS Office including Excel
REQUIRED CERTIFICATES / QUALIFICATIONS:
- Grade 12 completion
- Driver's License and reliable vehicle
PHYSICAL DEMANDS & WORKING CONDITIONS:
- Comfortable working independently
- Occasional requirement to work overtime or the odd Saturday.
PERFORMANCE REVIEW & OTHER COMMENTS:
- Three (3) month probationary period
- Annual performance review

$45,000.00-$60,000.00 per year
