The Office Assistant will perform bilingual reception and switchboard duties and to perform a variety of duties in support of office administration.

Accountabilities

  • Receives and replies to queries from general public and various agencies. Provides information within scope.
  • Registers visitors and issues temporary security passes in accordance with processes and procedures.
  • Receives all incoming mail and deliveries and performs tasks associated with distribution of such to staff. Handles all outgoing mail.
  • Assists departments with processing required documentation for out of country shipments.
  • Ensures the office supply room is tidy and organized with an adequate amount of office supplies and stationery.
  • Fills out on line purchase requisitions for ordering supplies through corporate vendor, and delivers or unpacks and shelves supplies received. Verifies packing slips to goods received to ensure the billing is accurate.
Specific Competencies

  • Must have acceptable grooming and work habits fitting the position and possess an excellent command of the English language.
  • Must have a courteous and pleasant telephone manner, with the ability to communicate tactfully and positively with all contacts, both internal and external.
  • Must be a team player with excellent interpersonal and organizational skills along with the ability to maintain accurate and timely work output is essential.
  • Must be able flexible and adaptable to meet a variety of working conditions.
  • Good memory is also essential.
Education & Experience

  • High school graduate with a minimum of six months of related experience, including completion of receptionist/telephone technique training.
  • Ability to speak French fluently is an asset.
Marine Transportation Security Clearance


The incumbent must obtain and maintain a valid Marine Transportation Security Clearance as this position is required to access restricted areas/information as defined by the Marine Transportation Security Regulations.
