Position SummaryThe Assistant Controller supports the Owner/Controller in managing day‑to‑day accounting and financial reporting for multiple franchise locations.
The role is hands-on, focused on accurate books, payroll support, and complex Excel-based reporting using cloud-based tools such as QuickBooks Online and ADP.
Key Responsibilities- Process accounts payable and accounts receivable, ensuring timely and accurate coding by location/class.
- Assist with monthend close, including bank and credit card reconciliations and preparation of basic monthly financial reports (P&L, balance sheet) for review by the Owner/Controller.
- Process multilocation payroll in ADP, including data entry, review of hours and earnings, and reconciliation to the general ledger.
- Design and maintain complex Excelbased reporting models (not just basic spreadsheets), including multilocation summaries, labour and COGS analytics, and trend reports, using advanced functions, nested formulas, pivot tables, and tools such as Power Query/Power Pivot to support management decisions.
- Support budgeting and forecasting activities by updating templates, compiling actuals, and assisting with basic variance analysis.
- Help implement and maintain basic internal controls and standard operating procedures for accounting processes across locations.
- 3–5 years of progressive accounting experience, ideally in a multilocation, franchise, restaurant, or retail environment.
- Strong working knowledge of cloudbased accounting software, preferably QuickBooks Online (or similar), including use of classes/locations.
- Handson experience processing payroll in ADP (or equivalent) and reconciling payroll to the general ledger.
- Solid understanding of Canadian payroll rules and government remittance requirements (CRA and provincial), even if remittances are filed by others.
- High proficiency in Excel, including advanced functions, nested formulas, pivot tables, and comfort with tools such as Power Query/Power Pivot and building reusable reporting models.
- Strong attention to detail, accuracy, and organization, with the ability to manage multiple deadlines across locations.
- Clear written and verbal communication skills, comfortable working with location managers and external partners (bookkeeper, accountant, payroll provider).
- Diploma or degree in Accounting, Finance, or a related field.
- Working toward a professional designation (e.g., CPA) is an asset but not required for this level.
