Job Summary:

The Office Manager provides and coordinates the administration and financial management of Oak Park Co-Operative Children's Centre (Oak Park).

The Office Manager will work closely with both the Board of Directors (BOD) and the on-site Child Care Manager to ensure the operational functionality of Oak Park in the provision of nurturing care and education of 18 month - 4-year-old children in a group setting.

The Office Manager works closely with the BOD, Child Care Manager, the City of London, and other vendors in achieving the strategic objective of Oak Park.


This position oversees the financial management, and general office coordination, which will require someone who will assume full responsibility for developing and implementing new administrative policies and processes.

The Office Manager of Oak Park Co-operative Children's Centre reports to the Parent Board of Directors.


Principle Duties & Responsibilities:

Finance

  • Responsible for developing and maintaining the Oak Park operating budget
  • Timely administration of the Centre's accounts receivable
  • Timely administration of Centre's accounts payable
  • Maintains operation of the Centre within the approved budget, in consultation with the Treasurer of the Parent Board of Directors
  • Maintains an orderly accounting filing system
  • Processes payroll promptly
  • Inputs all financial information into QuickBooks and completes monthly bank reconciliations
  • Coordinates all funding requirements and reporting for Canada Wide Early Years and Child Care (CWELCC) agreement
  • Records cash receipts and makes bank deposits
  • Calculates and issues financial analyses of the financial statements
  • Submits timely financial reports and prepares presentations/proposals as requested by the Parent Board of Directors
  • Ensures budgeting and bookkeeping procedures are accurate
  • Works closely with accountant to for tax purposes
  • Develops and executes fundraising initiatives in collaboration with Oak Park Board of Directions, and Child Care Manager
Office Management

  • Works collaboratively with Child Care Manager to ensure the Centre meets all licensing requirements
  • Oversees and manages all elements of centre enrolment, including managing the ONEList, communicating with Subsidy and ensuring parents make payments.
  • Track stock of office supplies, cleaning supplies, toys and equipment, food and kitchen supplies and place orders when necessary while staying within the approved budget
  • Manages all administrative tasks regarding the Centre, including logistics, maintenance, and facility handling
  • Creates and update records and databases with personnel, financial and other data about the childcare Centre
  • Ensures regular liaison and communication, as required and applicable, with third parties, including the landlord, custodial service, maintenance services
  • In the absence of the Child Care Manager, the Office Manager will manage staff scheduling and monitoring, parent interactions, and liaise with Board to ensure ongoing childcare management; the office manager is not responsible for fulfilling any childcare or programming duties.
Administration

  • Markets the centre to prospective parents within agency standards
  • Communicates key messages on financial and administrative decisions made by the Parent Board of Directors and the Office Manager to centre staff on an ongoing basis
  • Attends regular BOD meetings, acts as the recording secretary, and supports the BOD to ensure all documentation is uptodate and accurate
  • Provides administrative support to the Child Care Manager in recruitment efforts, and the delivery and organization of personnel files
  • Performs other duties as may be assigned from time to time by the Parent Board of Directors

Supervision Given
This position does not include supervision of other staff.


Consequence of Error/Judgement
This position works with a high degree of independence and responsibility.

Errors in judgment could result in serious financial consequences for Oak Park, undermining its ability to meet commitments and achieve its strategic objectives.

Errors could result in significant concerns regarding the liability, credibility, and integrity of Oak Park.


Working Conditions
The incumbent will be working in Oak Park at 1040 Oxford St. West and will be provided with an appropriate workspace.

$43,000.00-$50,000.00 per year
