Manage main phone lines, courier specialty I.T.
account and main account listing for courier and warehouse accounts, boardroom calendars throughout Canadian locations, and coffee vending equipment service issues.
Provide administrative and backup support to OS team including mailroom, coordinate various events throughout the year.KEY ROLES & RESPONSIBILITIES
Track incoming couriers and vendor deliveries through vendor Tracking System, coordinate and send communications, ongoing mailroom support such as mass mail out processing, prepare ATT packages, labelling and sorting
Main POC for local courier account, facilitate account setups and inquiries, manage and update Estee account listing to ensure data integrity
Provide administrative support and data entry as required by Office Services Manager, assist in coordinating various events throughout the year, process all MAC gift requests
Provide backup support for Source4 account setups and special stationary requests, coffee vendor program inquiries and contact for service issues, expense reporting tool, maintain and update OS SharePoint site, manage department vacation calendar, monitor OS inbox
Manage specialty account for daily courier I.T. equipment deliveries, liaise with I.T. and vendor, process daily courier requisition forms, transfer to online filing system
Manage boardroom calendars throughout Canadian locations, coordinate new calendar creations including updates, POC for inquiries and issues
Provide support to EL Ops finance team including PO lookup and invoice distribution as required
Qualifications:
Minimum Education Level:
College Diploma
Minimum Years of Experience: 2 years
Required Language Proficiency:
Proficient in English, both written and verbal
Additional Job Specifications:
Strong computer skills, proficient in Excel and Word, excellent organizational skills, professional attitude with ability to be flexible and manage fast paced environment in a positive and calm manner
