PURPOSE


Reporting to the Finance Manager, the Accounts Payable Specialist is responsible for activities that ensure the accuracy and timeliness of financial reports, the strengthening of internal controls and the efficient operation of the accounting function.

They will also ensure detailed and accurate invoice tracking as well as providing excellent customer service to our internal and external customers.

The Accounts Payable Specialist will be expected to support interim and annual audit and compliance activities.


SPECIFIC POSITION RESPONSIBILITIES

  • Process accounts payable from receipt to final approval including match invoices to PO receiving, entering invoices into Sage 300 accounting software, reconciling vendor statements and process biweekly EFT runs.
  • Prepare monthly reconciliation for accounts payable and prepaid accounts.
  • Performs related clerical functions within the Finance Department such as filing, recording information, preparing reports using MS Excel, assisting staff, and other duties as required.
  • Performs Special projects as assigned by the Manager.
  • Manage corporate credit card payments, accounting and reconciliations.
  • Perform monthend closing activities including journal entries, account reconciliations and variance analysis.
  • Liaise directly with management and staff in the preparation of monthend reports and charts for inclusion in the monthly financial reporting.
  • Act as a backup to the other finance coordinator as needed.
  • Ensure that all financial records pertaining to the operations are accurate and complete.
  • Assist in the annual audit process and preparation of working papers.
  • Prepare ad hoc reporting and assist with special projects.
  • Operationalize client safety through adhering to established policies and guidelines that ensure consistency in the delivery of quality and safe care and, by identifying and reporting any client safety incidents.
  • Ensure compliance with the specific requirements of Section 28 of the Occupational Health and Safety Act as well as any further health and safety responsibilities as outlined in agency policy and procedure documents.

QUALIFICATIONS

Education_**- Post-secondary degree in Accounting, Finance or Business preferred.

  • Enrolment in the CPA program would be considered an asset.

_ Experience_

  • Minimum 1 years' experience in an accounting role.

_ Skills_

  • Must have demonstrated proficiency in SAGE 300.
  • Must have advanced Excel skills (as well as Microsoft Office).
  • Able to prioritize among multiple demands.
  • Superior ability to work well with others and be an effective team member.
  • Exceptional verbal and written communication skills with the ability to effectively and professionally communicate with both internal and external customers.
  • Ability to explain complicated material in a way that anyone could understand.
  • Superb analytical and problemsolving skills.

_ Additional Requirements_

  • Current (within 3 months) criminal reference check.
  • Proficient in the use of technology as required of the position, including working in a virtual environment with MAC OS operating systems experience preferred.
