About This Location:


Our Home Office is located in the heart of Bloor West Village in Toronto, just steps away from Jane Subway station.

This role is an in-person position with a requirement to attend the office on a full time schedule of Monday to Friday, 9AM - 5PM.

About This Role:


Reporting to the Manager, Accounts Receivable and following Company and Account Receivable Department policies and procedures, the Accounts Receivable Administrator manages customer contracts, billings, payments and refunds and supports the efforts to collect the Company's accounts receivable.


Key Qualifications and Demonstrated Abilities:


  • Minimum of Grade 12 education or equivalent with 1 to 2 years of previous office administration experience.

  • Excellent attention to detail and consistently high level of accuracy
  • Exceptional interpersonal, negotiation and communication skills, verbal, written and presentation.
  • Demonstrated strong customer service skills with the ability to partner with all levels of the organization.

  • Possesses excellent computer skills, specifically with the Microsoft Office Suite of products including Excel, Word, Powerpoint and Outlook.
  • Possesses the ability to work in a fastpaced office environment.
  • Ability to multitasks, meet deadlines and work independently as well as in a teamoriented environment.

Responsibilities:


  • Administrates and monitors customer contracts including but not limited to:
  • Completes contract checklists in contract management software to ensure that all required paperwork is complete;
  • Follows up with branches when contracts are incomplete;
  • Scanning contracts and associated documents into SharePoint;
  • Follows up on intransit contracts not received;
  • Tracks void and lost contracts and conducts annual contract audit;
  • Printing, verifying and coordinating the mailing of welcome letters for contract verification; and
  • Responds to contract enquiries from branch and other Home Office colleagues and ensures contracts are appropriately stored.
  • Prepares payment invoices;
  • Processes payments received in contract management software;
  • Liaises and responds to branch colleagues regarding recurring payments;
  • Performing a monthly purge of automated payment forms;
  • Files payment forms, deposits reports and related documents;
  • Tracking manual receipt books and conducts annual receipt book audit; and
  • Processes returned payments and prepares and mails related followup letters.
  • Monitors the refund general mailbox;
  • Reviews and processes refunds;
  • Enters the refunds into contract management software notes;
  • Forwards refund payment requests to Accounts Payable for cheque preparation; and
  • Follows up on staledated customer refund cheques. Updates contract management software notes regarding status of refund and arranges for resubmission of refund payment request to Accounts Payable, if applicable.
  • Other duties as required.
