  • Job SummaryReporting to the Director, Engagement and Learning, the Administrative Assistant provides exceptional administrative and leadership support for the operation of the DEL's office and its strategic initiatives. The Administrative Assistant provides direct support to the Director as well as to the Manager, Access Services and the Head, Engagement and Learning. The Administrative Assistant also supports ongoing and project work in the Engagement and Learning portfolio, and collaborates with colleagues to support the overall aims and strategic directions of UVic Libraries.


The Administrative Assistant interacts with partners both on and off-campus, including senior offices within the University of Victoria, and including but not limited to: Learning and Teaching Support and Innovation, Human Resources, Development, Accounting, Purchasing, Residence Services, Food Services, Facilities Management, and Printing Services.

The Administrative Assistant may also interact with a wide variety of community partners, maintaining a high degree of professionalism and attention to detail in these communications.


  • Job Requirements
    Experience:


This role requires a minimum of three (3) years of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience.


Knowledge/Skills/Abilities:

  • Demonstrated ability to work in a respectful manner in a team environment with people from a broad variety of cultural backgrounds, and contribute to an inclusive working and learning environment
  • Experience with organizational communication, presentations, and report writing.
  • Excellent organizational skills including attention to detail, time management, and ability to multitask in a fastpaced environment
  • Ability to act effectively and with good professional judgment with limited supervision
  • Excellent verbal and written communication skills, with a proven ability to create, compose and edit a variety of written materials
  • Excellent administrative and organizational skills
  • Excellent proficiency with calendaring systems
  • Demonstrated ability to effectively manage competing priorities and complete projects to deadline in a work environment that experiences frequent interruptions
  • Excellent knowledge of file and records management systems and processes, with ability to establish and maintain office systems
  • Ability to communicate effectively with faculty, staff, students, and the general public in a consistently tactful and diplomatic manner while respecting confidentiality
  • An ability to articulate your own needs and take appropriate steps for selfcare especially during hectic or stressful periods.

Specialized Knowledge/Education:
Secondary school diploma or equivalent and some post-secondary course work


Assets/Preferences:

  • Understanding of UVic information systems including BANNER, FAST, Cascade, MS Teams, Excel, and Connect
  • Experience coordinating and supporting videoconferenced meetings
  • Understanding of UVic policies, procedures and business systems
  • Understanding of libraries, archives, or knowledge organizations
  • Knowledge of university structures, functions, policies, procedures, rules and regulations
  • Experience or interest in service development, service assessment, user experience, or assessment
