Summary:


The Property Administrator, Commercial, for Cushman & Wakefield | Stevenson has the passion and drive to work closely with and provide support to the Property Manager in the overall management of a commercial real estate portfolio.

The Property Administrator is involved in all aspects of day-to-day operations of the property, including tenant relations, managing maintenance activities, maintaining filing systems, assisting with year-end CAM reconciliations, annual collection and preparation of Income & Expense Statements and preparation of real estate documentation and monthly financial reports.

The Property Administrator, Commercial reports directly to the Director, Commercial.


Required Skills and Abilities:


  • 2+ years of professional Administrator experience detail oriented and project oriented; ability to organize information electronically and paper base
  • 2+ years of Property Management experience considered an asset.
  • Computer Skills intermediate to advanced skills in Quick books, Excel, Word and other Microsoft Office programs. Experience with Spectra and/or Yardi.
  • Basic accounting knowledge to assist with lease and budget preparation and year end CAM reconciliations, tenant schedules of rent and basic understand of rental terms
  • Knowledge of building systems helpful.
  • Ability to work effectively in a rapidly growing/changing environment with a high degree of resourcefulness and adaptability

Duties and Responsibilities:


  • Assists with lease preparation and understands all lease documentation.
  • Prepares and administers contracts for provision of property services, such as cleaning and maintenance, snow removal, landscaping, etc.
  • Coordinates the implementation of repairs, maintenance and renovations carried out on buildings and monitors progress while determining whether costs are a building expense or a tenant expense.
  • Prepares work orders for Maintenance personnel through Angus.
  • Ensures necessary purchase orders are issued, maintained and tracked.
  • Handles utility tracking and implements changes with utility companies where necessary.
  • Tracks critical timelines such as POs, insurance certificates for vendors and tenants, annual payments, budgets, CAM reconciliations and financial statements.
  • Updates emergency contacts in database for maintenance on call procedures.
  • Assists with preparation of legal documentation.
  • Assists the Property Manager in any type of work requested.
  • Provides support and assistance as required to other team members, in particular as workloads fluctuate.
  • Collaborates effectively with team members throughout the business, from all levels.
  • Makes use of knowledge of standard office administrative practices and procedures.
  • Ensures that deliverables align with the strategic priorities of the business units supported.
  • Participates in preparing monthly financial statements, yearly CAM reconciliations and annual budgets.
  • Prepares different types of correspondence for Tenants and Owners such as tenant welcome packages, notices, etc
