SCOPE

Under the direction and supervision of the Head, Cataloguing & Collection Maintenance, and the functional direction of the Special Collections Archivist, the incumbent provides reference services relating to Special Collections and monitors the Special Collections Reading Room, ensuring users handle materials safely.

Performs tasks of a specialized nature relating to the processing, description, and preservation of archival materials; including tasks related to the maintenance of physical collections and facilities.

This position is based at the Loyola campus.


PRIMARY RESPONSIBILITIES

  • Performs tasks relating to user access to Special Collections.
  • Participates in the processing of archival materials, including description and preservation of archival materials (analogue, born digital and digitized).
  • Maintains physical collections and facilities, including cleaning storage spaces and recording data from monitoring equipment for environmental conditions.
  • Shares expertise and explains procedures to other staff, as required.
  • Recommends improvements in policies and procedures.
  • Participates in planning and carrying out projects as required.
  • Participates in collection development projects as required.
  • Maintains and reports work statistics.
  • Participates in Library or University committee work as required.
  • Performs other duties as assigned.

REQUIREMENTS

  • Diploma of Collegial Studies (3year technical DEC) in Information and Library Technology.
  • Good knowledge (Level 4) of spoken and written English. Basic knowledge (Level 3) of spoken and written French.
  • Experience processing and describing archival material is required.
  • Familiarity with archival content management systems is required. Experience with AtoM is preferred.
  • Familiarity with digital preservation tools, such as Archivematica, is an asset.
  • Knowledge of archival tools and standards, including Rules for Archival Description (RAD).
  • Demonstrated ability to search for and interpret bibliographic and holdings records in an integrated library system; understanding of the MARC 21 format for bibliographic records is required.
  • Ability to organize work, establish priorities, and meet deadlines.
  • Ability to work efficiently and accurately while paying close attention to detail, and to concentrate on computer tasks for long periods of time.
  • Ability to quickly learn new procedures and technologies, and to adapt rapidly to changing procedures and technologies.
  • Excellent interpersonal skills and ability to work cooperatively with librarians and coworkers and communicate with professionalism and discretion.
  • Aptitude for, and interest in, serviceoriented work with library users.
  • Ability to give instruction and to explain problems and procedures clearly and succinctly.
  • Ability to exercise judgment and show discretion in handling confidential information.
  • Ability to use a computer for uninterrupted work periods of 6090 minutes.
