Description

Job Function:


  • Administrative support
  • Assist Finance and HR where required

Duties and Responsibilities:


Facility Management:

  • Repairs, maintenance, painting, etc. of the facility
  • Shredding of outdated documents, as per the archival policy


  • Key Management

  • Log of keys to be maintained with corresponding data


  • Inventory Management

  • Tracking the distribution of stationary and ensuring availability at all time
  • Creating and maintain the master list of vendors in all categories

HR Operations:

  • End to end recruitment sourcing profiles as per the JD shared, including campus placement and Coop interns, scheduling interview, offer negotiation
  • Updating and maintain the list of JDs in the format
  • Updating the Organogram as per the latest head count
  • On boarding for New hires:
  • Co-ordinating with IT team for generation of IDs
  • Office tour and introduction to all teams
  • Create new joiner dockets, binder books for all new employees, their fob key for entry, Access card
  • Punch In and Punch Out, creating ID on Catalyst
  • Work station set up with new employees explain to them how to use copiers in the main lobby and upstairs, scanners, coffee machines
  • Schedule a team wide meetup to welcome new hires in less formal setting (i.e. small meeting room)
  • Coordinating for Co-Op placements, enrollment through Bio-Talent and filing for claims on a monthly basis
  • End to end management of all employee engagement related activities
  • Managing the entire process of Champion of the Month

Other Activities:

  • End to end travel desk arrangements Management of Aloft account, alternate accommodation for visitors
  • Point of contact for all IT related services
  • All activities related to Employer Branding

Skills and Qualifications:


  • Graduate/Post Graduate
  • 2+ years of experiences in office administration and HR Operations
  • Carries positive attitude and exudes high morale to influence others within the organization.
  • Able to react well to challenges and can anticipate needs in advance.
  • Great communication and organizational skills with all levels of organization/visitors

Job Type:
Fixed term contract


Salary:
$38,000.00-$40,000.00 per year


Schedule:

  • 8 hour shift
  • Monday to Friday

Ability to commute/relocate:

  • Concord, ON L4K 4J1: reliably commute or plan to relocate before starting work (required)
