Who we are looking for?

We are seeking a dynamic and self-motivated HR/Office Coordinator to join our team.


The HR/Office Coordinator is responsible for overseeing the administrative and operational HR functions as well as the office management activities.

This role serves as a point of contact for employees and visitors while ensuring smooth HR operations, maintaining an efficient office environment, including providing guidance and supervision to the Receptionist/Office Assistant, while continuously supporting the company's core purpose of improving patient outcomes and saving lives globally.


Key Responsibilities:

  • HR Administration_
  • Provide comprehensive HR administrative support, including maintaining employee records, preparing HR documents, and managing the HR database (BambooHR)
  • Assist in the recruitment and selection process by coordinating interviews, conducting reference checks, and preparing employment contracts.
  • Manage employee onboarding and offboarding processes, including orientation, paperwork, and assisting with exit interviews.
  • Communicate with accounting regarding employee benefits programs, leaves of absence, and payroll changes, as required.
  • Employee Relations and Engagement_
  • Serve as a point of contact for employees regarding HR policies, procedures, and general inquiries.
  • Support the development and implementation of employee engagement activities such as teambuilding events, recognition programs, and employee wellness initiatives; including acting as the Social Committee lead.
  • Assist in the performance management process by providing training and support to employees and management.
  • Oversee employee communication channels and assist in resolving employee concerns or conflicts.
  • Office Management _
  • Provide supervision, guidance and training to the Receptionist/Office Assistant.
  • Oversee the reception area, including the answering and directing of phone calls, and the handling of mail and deliveries.
  • Oversee office operations, including the management of office supplies, equipment, and facilities maintenance.
  • Coordinate travel arrangements, external meetings, and events, ensuring timely and efficient scheduling.
  • Maintain office policies and procedures, ensuring compliance with health and safety regulations.

Education, Work Experience, Skills & Knowledge:

  • Formal Education_
  • Bachelor's degree in human resources, business administration, or a related field is preferred.
  • Work Experience_
  • 3+ years of experience in HR administration, office coordination, or relevant roles.
  • Previous experience in a medical device or pharmaceutical development environment is an asset.
  • Skills and Knowledge_
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and ability to maintain confidentiality.
  • Working knowledge of employment laws and regulations.
  • Familiarity with HRIS systems (experience with BambooHR an asset).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proactive and solutionoriented mindset.
  • Prior experience supervising or managing employees an asset.
  • Ability to work independently and collaboratively in a team environment.
  • Strong work ethic, high level of professional integrity.
