    Community Recreation & Culture Coordinator - Corporate Festivals & Events - Temporary Full Time (8-month contract)

    Reporting to the Manager of Culture & Events, the Community Recreation & Culture Coordinator – Corporate Festivals & Events is accountable for leadership and advocacy in festival and event production and volunteer management. This role is responsible for the overall development, administration, coordination, execution, and management of corporate festivals and events, namely the Ajax Markets portfolio, which includes weekly market events from May until October, as well as the "Christmas in the Village" market event, while supporting existing events as required. The position also engages a diverse variety of farmers and other vendors, provides input into and/or develops related event marketing and promotional strategies, and develops a range of cultural, diverse, and innovative event programming for all ages.

    Key Duties

  • Develop, coordinate, deliver, and manage a weekly market event from May to October as well as the "Christmas in the Village" market event in early December while supporting existing events as required.
  • Research and engage a diverse range of farmers/vendors and event programming to participate in the markets.
  • Develop and coordinate all logistics, risk management, and contracted services for the market events.
  • Maintain all vendor and exhibitor applications and databases, ensuring that all administrative information is collected in accordance with legislation (i.e. insurance, Farmers Market legislation, Public Health Forms, etc.).
  • Draft, coordinate, develop, and implement event specific promotions and marketing in cooperation with the Marketing Coordinator and Graphic Designer.
  • Develop promotional and communication strategies, including media relations and social media for specific events, in cooperation with the Marketing Coordinator and Corporate Communications.
  • Monitor and track associated budgets.
  • Work with the Volunteer Coordinator to recruit and orient various volunteer support roles for associated events.
  • Supervise event volunteers.
  • Report writing and presentation development as required (i.e. Senior Management Team, Ajax Council, etc.)
  • Qualifications/Skills

  • Relevant University/College degree or diploma in Recreation & Leisure Studies, Festivals & Events Planning, Event Production, or related discipline.
  • Minimum four (4) years progressive experience in a recreation/leisure, event production & delivery and/or municipal setting with a minimum two (2) years of supervisory experience (staff/volunteers, contracted services, vendors, etc.), or a combination of training, education and experience deemed equivalent.
  • Demonstrated experience in small to large scale festivals & events production and delivery, outdoor events, event logistics, event programming, community engagement, partnership development, contracted services management and negotiation, health & safety, and event trending.
  • Experience and knowledge in volunteer management.
  • Experience in budget administration, implementation, and adherence.
  • Excellent skills in Microsoft office (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal, communication, and customer service skills.
  • Strong report writing and presentation skills.
  • Excellent leadership, negotiation, organization, and problem-solving skills, with the ability to work in a fast-paced environment, manage multiple priorities, and have demonstrated decision making capabilities.
  • Current Standard First Aid with CPR C Certification
  • Valid Class "G" driver's license and access to reliable vehicle to assist with event related errands, site visits, etc.
  • Comfortable with driving Town-owned Vehicles (i.e. Recreation van, Operations trucks, etc.).
  • Able to provide a Criminal Reference check with Vulnerable Sector screening that is satisfactory to the Town.
  • Able to work a variety of shifts (days, evenings, weekends, and statutory holidays) including every Thursday during the market season.

  • Experience in event marketing including social media development preferred.
  • What is Offered to Staff

  • Rate of Pay: $ $64.01 per hour
  • Hours of Work: This 8-month contract is a non-union position that works 35 hours per week.The hours of work are mainly Monday to Friday from 8:30 a.m. - 4:30 p.m., but will also require some flexibility to work the Ajax Markets on Thursdays from 1:00 p.m. – 9:00 p.m., as well as some weekends as required.
