Consider this challenging opportunity working for the Court Services Division (CSD) with the Ministry of the Attorney General as a Recording Management Coordinator where you will coordinate the distribution, retention and intake of thousands of electronic certified recordings of Ontario court proceedings annually.

You will also interact with ordering parties, authorized court transcriptionists, the judiciary, justice participants and the public to resolve complex matters related to access, restrictions and the distribution of court recordings.

Any individuals who perform Recording Management Coordinator (RMC) functions are prohibited from registering with the independent service provider as an ACT for court locations where the employee will perform the RMC functions.

If an individual is currently registered as an ACT for a court location(s) where they perform RMC functions, he or she will be required to modify their registration to eliminate those court locations.

What can I expect to do in this role?: You will:

  • Receive, track and process internal CSD transcript requests from the judiciary and management, and record orders in electronic tracking system.
  • Select an authorized court transcriptionist from the List of Authorized Court Transcriptionists for Ontario and arrange all aspects of the transcript orders.
  • Develop and maintain contacts with vendors, government programs, and corporate offices, and respond to issues related to transcript production and authorized distribution of incourt records with authorized court transcriptionists.
  • Provide digital recording to the authorized court transcriptionists or other authorized parties in the approved format and approved media (i.e. encrypted USB, CD, or other delivery methods), and extract portions of the audio recording as required.
  • Maintain a secure and efficient calendarized filing system in accordance with ministry directives, judicial policies and specified retention schedules for court recordings, CDs, tapes, log books and hard copy and electronic materials.
  • Ensure certified digital recordings and related hardcopy and electronic materials are received for every court proceeding, and verify each recording by electronically analyzing and manually auditing recordings to ensure that the recording is audible.
  • Provide ongoing assistance, training and technical guidance as required, and provide administrative and clerical support.

  • Your time management skills enable you to assess conflicting priorities while providing efficient client service.

Computer Skills:


  • You demonstrate knowledge of digital recording equipment and audio recording files (e.g. Liberty Court Player, SharePoint [Recording Management System]) to ensure files are properly recorded and annotated as well as extract and copy digital electronic recordings.

Other Essential Skills:


  • You have an understanding of procurement policies to enter into and monitor contracts and perform administrative and financial functions to verify and process invoices.
  • You can perform calculations and balance monies as well as operate a cash register and point of sale machine in order to process transactions.
