Administrative Assistant

Job Summary


Reporting to the Deputy CAO/Director, Watershed Management Services, the Administrative Assistant holds an important organizational role in the Watershed Management Services division by performing a variety of administrative, records management and other duties for the staff in the department.


Major Responsibilities/Duties

  • Assistant to the Director, Watershed Management Services.
  • Provide full range of support to the Watershed Management Services department including but not limited to: administrative and research assistance; filing; historical file retrieval; photocopying; open/sort/send mail; meeting arrangements; and maintaining office supplies and department equipment needs.
  • Maintain the Watershed Management Services departmental records management program in accordance with HCA's corporate records management policy and procedures: including ensuring consistent implementation of filing systems and assisting with implementation of the corporate records retention schedule.
  • Maintain departmental databases and management of all Watershed Management Services files and electronic records.
  • Assist Watershed Management Services Director with budget review and ensuring costs are charged to the correct accounts, programs and departments.
  • Process permits and track all permits issued each year.
  • Type various correspondence, documents, and reports as required by Division staff.
  • Undertake updates on annual basis or as required to Duty Officer schedule, emergency cards and information package.
  • Minute taking for Management Team and Division meetings.
  • Perform related duties as assigned by the Director, Watershed Management Services, or in their absence, the Manager, Watershed Planning, Stewardship & Ecological Services or Manager, Water Resources Engineering
  • Perform administrative functions, training and clerical assistance for Executive Assistant / Records Management Coordinator to CAO and Capital Projects & Strategic Services, as required.

Qualifications:


Education and experience you will need to have:

  • Post-secondary education in the form of a college diploma.
  • A minimum working experience of five years in a related field

Knowledge/Skill/Ability

  • Strong administrative and computer skills (MS Excel, Access, Power Point and Word)
  • Good understanding of accounting / financial matters
  • Must be able to maintain tact, maturity and display good relations with the public and other employees
  • Must be self motivated and take initiative for assigned work

And even better if you have:

  • Knowledge of Hamilton Conservation Area mission statement
  • Knowledge and experience with records management practices
  • Strong time management skills
  • Positive team player capable of selfdirected, independent work

Working Conditions:

The position is located in the Hamilton Conservation Authority main office at 838 Mineral Springs Road, Ancaster, Ontario.

However, the work location may change to any of HCA's conservation areas through the year depending on business needs to assist on either a short or longer-term basis or at special events.

Hours of work generally fall between 8am - 5:00 pm, with a half-hour unpaid lunch based on a 37.5-hour workweek at 7.5 hours per day, Monday through Friday.

Work outside of these hours may be required occasionally.


Salary Range:

The 2023 salary range for this position starts at $64,262 annually. Progression through the pay range band S4 will be based on merit and is considered on an annual basis. Yearly cost-of-living adjustments (COLA) may also be considered.
