Description:
- Reporting to the International & Language School Coordinator, the Administration Technician performs various technical and administrative tasks on behalf of those responsible for overall international projects in Continuing Education, especially the International ACS programs.
- More specifically, but not limited to, the Administrative Technician:
- Collaborates with the international team on various international projects;
- Coordinates and supports logístical concerns for international students pre and post arrival (e.g. health insurance, academic and cultural concerns, student workshops and activities, class scheduling);
- Provides technical assistance and information to students regarding admissions and records support, or other student services support;
- Organizes student and teacher class scheduling on two campuses, in collaboration with Pedagogical Counsellors;
- Inputs international student scheduling into Clara;
- Disseminates promotional materials and maintains inventory for international recruitment events in collaboration with Vanier College's Department of Communication;
- Oversees use and maintenance of promotional items, resources and physical structures necessary for international activities in collaboration with the Communications Officer;
- Maintains and updates website and social media platforms;
- Develops and prepares event/activityrelated material such as nametags, signage, program booklets, menus, maps, certificates and student/agent guides;
- Supports the traveling logistics, accommodation and transportation of the Coordinator and professionals;
- Prepares budgets, assists with accounting and prepares internal reports as required;
- Liaises with the Finance department for the monitoring of international budgets;
- Prepares letters and correspondence, service contracts and refunds;
- Manages the agenda and travel expenses of the Coordinator;
- Maintains ongoing list of capital equipment requests for all programs;
- Researches, analyzes and validates budget proposals, submissions and purchase requests;
- Helps in the coordination of the work of support staff that report to the office;
- Collects and prepares data from various databases and sources for analysis (ex: Clara / Teacher Workloads);
- Works closely with Registrar and other Vanier College services to support international initiatives and systems;
- Performs all necessary technical and administrative duties and record keeping.

Requirements:
- Qualifications:
- In the administration field, have a diploma of college studies (DEC) in administration with an appropriate specialty or, in the office automation field, a diploma of college studies (DEC) in office automation with an appropriate specialty or, a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
