Executive Assistant, Deputy Chief Nursing Executive and Vice President, Professional Practice, Quality and Risk.

Position Responsibilities:


  • Provide primary administrative support to the Deputy CNE and VP of Professional Practice, Quality and Risk, and secondary administrative support to assigned staff within their reporting structures; exercise confidentiality in the management and release of all information (e.g. perform administrative functions, conduct research, prepare reports, respond to information requests); participate in project assignments within assigned SMT reporting structure; facilitate the continuous operation and availability of the unit's office equipment
  • Liaise and collaborate with executives and other executive and program assistants to communicate information, and coordinate / participate in crossfunctional projects
  • Coordinate and monitor calendars (e.g. schedule meetings, arrange appointments, budget time, and provide reminders)
  • Develop and maintain organized filing systems; maintain records; locate files, documents, and other information
  • Enter payroll data for individuals reporting to department
  • Prepare invoices and collect payments
  • Track departmental supplies inventory and order supplies to anticipate department needs
  • Track budgets; assign line items to cost centres
  • Research topics and develop summaries / reports using internal and external resources (e.g. consultants, government boards, ministries, other hospitals, etc.)
  • Supervise assigned project staff
  • Research data sources; prepare summary documentation to support departmental projects and initiatives; access and review corporate systems information to analyze data, and compile a variety of statistical and / or qualitative reports
  • Support assigned projects within assigned reporting structure; track project timelines against targets
  • Track and monitor reporting and other deadlines required to meet reporting requirements (e.g. MOH,CIHI, etc.), contract expiries, etc.; distribute reports according to requirements; set reminders for stakeholders; collect signatures for Memoranda of Understanding, funding requirements, contracts with agencies, etc., and maintain signature list

Qualifications:


  • Diploma in General Administration required
  • Diploma in Health Administration or Business Management preferred
  • 5 years experience providing administrative support and executive support services required, in healthcare preferred
  • Proficiency in MS Office (e.g. Outlook, Word, Excel, PowerPoint, etc.) required
  • Knowledge and experience in scheduling and event planning/logistics required
  • Medical terminology, project coordination and business and statistical analysis experience preferred.
  • Experience organizing travel requirements, conferences and budget preparation and maintenance required
  • Customer service, organizational skills, problem solving, tact and diplomacy required
