The Foundation has grown in recent years to be a leading community hospital foundation with a strong and engaged board of directors.

Following on the success of the recent $100M+ Promise campaign, the Foundation is launching its most ambitious campaign thus far supporting the largest transformation of St.

Joe's in its history. We are looking for energetic and hardworking team members to join our staff and help in this transformation


Position:

The Executive Assistant to the President plays a critical role in the effective operations of the Foundation.

As the lead support for the CEO and Board, the EA manages complex and confidential administrative tasks, analytical, research and project management duties.

The role requires considerable confidentiality, initiative, tact, and mature and independent judgment


Key Responsibilities

Executive Support

  • Provides administrative support for the President, including but not limited to:
  • Maintaining contacts, electronic and print files, and weekly to-do list
  • Managing calendar, travel, logĂ­stical support
  • Coordinating internal meetings with staff
  • Preparing correspondence, reports and presentations
  • Tracking expenses and developing monthly expense reports
  • Responding to internal and external inquiries

Board, Governance and Campaign Cabinet Support

  • Provides administrative support for the Board, Governance and Campaign Committees and members, including:
  • Coordinating Board, Governance and Campaign Cabinet meetings
  • Developing internal and external meeting materials, such as agendas, briefs and information packages
  • Preparing financial reports, presentations (in PowerPoint) and summaries using advanced MS skills
  • Recording meeting minutes as required.

Gift Processing and Data Entry

  • Provides administrative leadership, including but not limited to:
  • Drafting gift agreements, gift confirmation letters and other gift related correspondence
  • Entering and managing prospect information into the database platform (Raiser's Edge)
  • Pulling database reports and summarizing key data (Raiser's Edge).

Other

  • Assists President, Vice President Development and other members of the Foundation team on special projects
  • Other duties as assigned.

Skills and abilities required:


  • Excellent oral and written communication skills
  • Detail oriented and works with a high degree of accuracy
  • Highly organized and flexible with the ability to manage multiple priorities, tasks and relationships in a fastpaced professional environment
  • Selfdirected and able to complete projects with limited supervision
  • Maintains confidentiality without exception
  • Proven ability to plan and coordinate a full range of informal and formal, small and large meetings and events
  • Proven ability to handle sensitive and confidential situations, demonstrate poise, tact and diplomacy
  • Analytical and problem solving skills and proven ability to research and summarize information
  • Proven ability to provide excellent client service
  • High degree of comfort with numbers, balance sheets and preparing materials in excel
  • Ability to prioritize a diverse workload

Compensation

  • Salary range is between $60,000$75,000
  • Enrolment in an extended health benefits and a pension program.


The Foundation team works in a mixed model (onsite and remotely) with at least a few days a week onsite with the team.
