The Cancer Education program at the University Health Network has a mandate to improve care through developing and launching interventions that support trainee, provider, patient and family knowledge and skills in cancer care.

The Administrative Assistant II supports program staff and collaborators by working as part of the team to create high quality and meaningful output.

The Administrative Assistant II completes tasks assigned and anticipates work that needs to be done. They are independent but enjoy working as a team. They actively seek out ways to improve processes and add value to projects.


The ADMINISTRATIVE ASSISTANT II exercises judgment and independence in the performance of administrative activities, the principal responsibilities include: supporting educational programs through room bookings, communications, managing supplies and catering as needed, scheduling complex meetings and appointments; following up with UHN personnel and department to ensure successful completion of tasks and processes; collecting attendance information and keeping track of evaluation surveys and data; maintaining written and/or electronic calendar/schedule for selected senior personnel and groups; limited administration and monitoring of billing procedures; modifying and maintaining electronic and paper information filing/retrieval methods, systems and/or formats; coordinating meetings and events on site and off-site under the direction of a senior member; preparation and distribution of meeting agenda and taking minutes; performing cross-functional responsibilities and other duties consistent with the job classification, as assigned.


Qualifications:


  • Completion of Grade XII or recognized equivalent
  • Completion of a post
- secondary office administration program at the diploma level or equivalent

  • Three (3) years related administrative support experience
  • Previous onthejob computer/wordprocessing, database and spreadsheet software experience; experience in a Microsoft Office environment preferred
  • Previous limited supervisory experience preferred
  • Experience working in a health care environment an asset
  • Experience working in a research environment an asset
  • Very good organizational and time management skills
  • Very good interpersonal and customer service skills
  • Very good verbal and written communications skills
  • Good knowledge of health care, organizational/office practices, procedures and standards
  • Ability to produce high quality work in accordance with Hospital and Institute standards
  • Ability to maintain confidentiality
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Knowledge of medical and research terminology an asset
