Position Summary

Reporting to, and under the direction of the Manager, Operations, the Finance and Business Officer is responsible for managing financial activities of the School of Communications, Media, Arts and Design (SCMAD).

The incumbent prepares the School budgets and interim financial reports in the approved college formats, and is responsible for gathering and auditing financial information in order to monitor the School's budgets.


The incumbent manages day-to-day financial operations for the school and acts as the first point of contact regarding all school financial matters.

The Finance and Business Officer is also the first point of contact regarding financial matters for business clients (facility rentals), collaborative partners and project funding organizations and coordinates financial activities with other departments including Human Resources/Payroll, Accounting, Financial Planning and Corporate Planning offices.


The incumbent is the resource for statistical report creation using a variety of software and college report information tools (AISMARTR, Adaptive Planning, Banner).

These reports may support scheduling cycles, admission recruitment cycles or may be related to financial operations at the school level or at individual program level.


Responsibilities

  • Prepare and submit all faculty contracts (full time and non
- full time), and support part time contracts related to academic programs, ancillary departments, par-time learning and special projects; adhering to all collective agreement and pay equity policy and practices

  • Prepare and monitor budgets; compile and input data for monthly and sixmonth review/forecasts; in consultation with SCMAD management team, review forecast to ensure that school meets projections
  • Create reports for each academic program to track non salary expenses
  • Process/audit paperwork for fulltime and parttime faculty hires; completing salary calculations for new full time, partial load, sessional and parttime faculty; preparing and submitting payroll forms; verifying payroll analysis
  • Maintain all accounts payable and accounts receivable; preparing transfers within Schools/Departments to maintain account integrity
  • Provide assistance with regards to finance upon approval of external funding for special projects
  • Monitor school Visa cards; verifying statement information used for approved school expenditures
  • Manage cheque requisitions, travel expenses and professional development reimbursements
  • Complete yearend reconciliation of all accounts
  • Coordinate facility rentals: prepare contracts, room bookings, act as liaison with rental clients for campus facilities (i.e., imaging studio, broadcast studio, classrooms etc.)

Qualifications/Experience

  • Three (3) year diploma and/or degree in Accounting or business administration
  • Five (5) years of general accounting experience in a midsize accounting environment including budget, payroll and accounts payable responsibilities as well as coordination with various departments related to accounting activities
  • Advanced Excel skills to produce professional customized workbooks, macros and multilayered reports
  • Knowledge of accounting software (i.e., QuickBooks)
  • Excellent verbal and written communication skills
  • Highly developed organizational skills with ability to manage interruptions and work well under pressure
