JOB SUMMARY:


We are looking for someone to join our team who is fluent in both english and french and has fantastic customer service skills including but not limited to: Building Rapport, Conflict Resolution, De-escalations, and Explaining Difficult Concepts.

Someone who can effectively explain our contracts process to consultants (Some with strong personalities) and hold their hand if needed.


Reporting to the Director, Vendorpass Canada, and with overall day to day guidance, coaching and support from the Manager, the Operations Specialist will be responsible in ensuring efficient and effective care for the entire associate lifecycle.

The incumbent will work directly with Account Managers in managing associate care not limited to processing start and end dates, onboarding consultants and manage any specific administrative contractual requirements as needed.

The Operations Specialist will provide associate care for the duration of the employment contract. Duties must ensure adherence to company policies and procedures.


ESSENTIAL FUNCTIONS:
Onboarding

  • Generate consultant new hire paperwork (including contracts) and ensure proper completion.
  • Interaction with clients for the purpose of gathering information regarding the assignments
  • Ensure that background and credit check information on consultants is compiled and submitted for processing
  • Ensure initial placement and updated payroll and billing data are submitted to the Back Office on a regular basis to ensure that assignment information is always accurate and current.
  • Ensure that Incorporated associates have up to date Insurance at all times.
  • Manage the filing of all contracts and consultant documents as needed.
Associate Care

  • Maintains and updates consultant information in Vendorpass company systems: not limited to new hires, pay rate changes, consultant status changes and consultant termination reconciliations'
  • Follows up with consultants for weekly timesheet submission and ensure that each consultant submits a billablehours timesheet, Paid Time-Off Timesheet or Holiday Timesheet by running the appropriate Job Diva or VMS tool reports. Submit zerohour timesheets, when necessary.
  • Assists the Back Office with correcting timesheets or billing/invoice issues as requested.
  • Manages Job Diva dashboard and monitor timesheets/invoices.
  • Reviews Job Diva reports to ensure all timesheets have been processed and create missing timesheet spreadsheet for consultants who did not submit zero hours.
  • Manages associate leave of absences and questions and concerns
  • Responds and manages all questions and concerns related to but not limited to leaves, payroll, timesheets, and employee relation matters
Reporting

  • Generates reports such as the Starts and Ends Report, Headcount Stats Report, tracking active offers and starts, Key Metrics report and any other ad hoc reports as assigned.
  • Generates and maintains Compliance reporting for Government
Consultant Engagement

  • Conducts Consultant Orientation by communicating all new and current Vendorpass policies and procedures prior to start of an assignment.
  • Responds within 4 hours to consultant inquiries
Other Duties

  • Completes client credit check requests, as needed
  • Attends regularly scheduled administrative meetings.
  • All other duties as assigned by Manager.

SECONDARY FUNCTIONS:

  • Manages virtual deal processing and administration, as required.
  • Performs backup duties for the team not limited to other administrative functions as needed.

EDUCATION & EXPERIENCE:

  • 2+ years work experience, some of which must have been in a customer service and/or administrative support capacity.
  • Experience in the staffing industry is considered an asset.
  • Completion of Community College or equivalent preferred.

  • Ability to build strong relationships externally with associates and clients as well as internally with consultants and colleagues.
  • Strong Excel skills

Salary:
$40,000.00-$55,000.00 per year
