Position Summary

Reporting to and under the direction of the Manager, Operations and Recruitment, the incumbent is responsible for all scheduling activities in The Business School (TBS).

The incumbent manages all day-to-day scheduling related operations for the School and acts as the first point of contact regarding School scheduling matters.


Responsibilities

  • Coordinates the overall scheduling cycles for the Business School three times annually for over 50 programs in four academic departments. Meets varied and sometimes conflicting requests serving the interests of faculty and students; deadlines and priorities may shift regularly and throughout the scheduling period and in a workday to reach the targeted outcomes in required timeframes.
  • Responsible for the statistical analysis and prediction of course sections every semester, schedule preparation, maintenance, production, verification and system testing.
  • Works closely with the Department Chairs, and Department Assistants to coordinate information from approximately 250 faculty, Coordinators, Scheduling and the Enrolment Services office to ensure that School's curriculum requirements are planned for and scheduled appropriately
  • Manages invigilation requests for tests, midterms and finals from the School faculty, communicating with the faculty. Matches the invigilation needs with faculty available to provide assistance and informs the requesting faculty of the available assistance
  • Primary resource for statistical report creation using a variety of software and college report information tools
- (AISMARTR, Cognos). These reports support scheduling cycles or may be related to operations at the School or departmental level.

  • Working with the School's Budgeting and Payroll Officer, the position is responsible for the generation and distribution of teaching contracts for the Sessional, Partial load and Part Time faculty through the use of the FLAC system.

Qualifications/Experience

  • A 3year College Diploma or undergraduate degree in Business or Office Administration or an equivalent combination of education and experience
  • A minimum of 3 years' experience with academic scheduling processes; experience includes coordinating scheduling activities for multiple academic departments
  • An understanding of enrolment data and how this data relates to school and predicting the number of sections of each course each semester.
  • Intermediate level proficiency with Microsoft Excel
  • Proven problem solving and analytical skills with a keen sense of accuracy and attention to detail to ensure integrity of student records.
  • Demonstrated communication and listening skills to maintain positive working relations with the various academic areas as well as the rest of the scheduling staff.
  • Proven planning and organizational skills, ability to manage multiple tasks as well as, conflicting deadlines and priorities
  • Ability to learn independently with strong initiative/flexibility to adapt and work with new processes and changing technology in order to identify issues/problems and provide input/suggestions for improvements.
  • Project management skills
  • Demonstrated ability to work accurately with mínimal supervision and deliver quality work in a high volume/pressure office;
  • Evidence of sensitivity to the issues of working within a multicultural environment
