Reporting:

This position

will report directly to the Manager, Special Projects & Conveyancing.


Key Responsibilities:


  • Manage conveyancing team of 23 persons, train and supervise staff as required.
  • Oversee all aspects of Alberta residential real estate transactions (single family and multifamily), from lot draw to hold to possession and reporting. Handling with mínimal supervision.
  • Work with and coordinate with external legal counsel on the conveyancing aspect of home sales to home buyers.
  • Oversee the review of sales contracts to ensure complete and accurate information; assist to escalate follow up on incorrect or missing information as needed; track sales contracts as conditional/firm to possession. Raise potential issues to the attention of the Manager, Special Project & Conveyancing.
  • Coordinate and oversee developer transfer documentation including preparation of lot payout, cash to close statements.
  • Collaborate with and support Sales, Drafting, Estimating and Customer Experience departments to ensure that firming and approving sale procedures are effective and efficient, assisting in creation and maintenance of formal policies and procedures as needed.
  • Attend and participate in weekly team meetings, as required.
  • Collaborate with various departments on updates and changes to systems as it pertains to lot inventory, sales agreements and related documents;
  • Maintain organized and efficient electronic filing system for customer and builder files, internal procedures, processes, and other miscellaneous legal agreements.
  • Oversee and monitor internal lot inventory data and sale information into inventory systems including reconciliation between systems as required.
  • Oversee accuracy and completeness of developer and housing lot information in systems.
  • Report to management with the status of customer files, spec home and show home files as requested.
  • Monitor home possessions, ensuring timely closing. Escalating potential delays to management as required.
  • Review realtor commission invoices for accuracy.
  • Monitor current sales volumes (internal and as builder liaison) to be proactive in anticipating future workloads (for both deal review and possessions)
  • Ensure change orders are approved and processed timely
  • Correspond with clients, counsel, financial institutions, title insurance companies, land registry offices, Alberta New Home Warranty etc.
  • Other duties and responsibilities as assigned.

Requirements:


  • Familiarity with the Land Titles Office and SPIN preferred but not required
  • 5 years experience in the home building industry
  • Experience with title insurance closings for new home purchases and new condo purchases.
  • Experience with builders and developers is considered an asset, but not required;

Working Conditions:

Traditional core office hours are Monday to Friday 8:00 am to 5:00 pm. Work may require occasional weekends and/or evenings. Periodic travel may be required.
