Position Summary

Position Responsibilities

Accounting

  • Manages the implementation of accounting policies, procedures, and systems
  • Identifies and manages the implementation of procedural changes designed to improve internal controls, efficiency and quality of reporting
  • Manages the General Ledger, including timely and accurate monthly closing, the review of account balances and the reconciliation of accounts
  • Processes transactions related to accounts payables and accounts receivables, payroll, bank reconciliations, fixed assets, depreciation, and amortization, and maintains records as required
  • Actively monitors, tracks, and reconciles revenues and expenditures to specific projects and initiatives
  • Provides financial and administrative input into organizational planning
  • Ensure all transactions are in accordance with Generally Accepted Accounting Principles (GAAP).

Financial Reporting

  • Manages the development and maintenance of standard and ad hoc financial reports
  • Assists in the development of grant proposals. Provides financial oversight with project coordinators and leads to ensure compliance with grant requirements and our organization's financial policies.
  • Provides financial reports to granting agencies in conjunction with narratives developed by staff responsible for grant project implementation
  • Manages the annual external audit, acting as primary liaison with external auditors, ensuring all necessary reconciliations are prepared upon arrival of the auditors, and providing needed schedules and documents for audit and charitable tax return purposes.
  • Remains current on all federal and provincial accounting legislation and regulations for charity and notforprofit organizations. Manages filing with and reporting to governmental agencies with regard to maintaining the organization's charitable status
  • Provides direction during the annual financial budgeting process, managing the development of automated, accurate data gathering, analysis and presentation
  • Assists the Executive Team in achieving budgeted financial results through reporting, forecasting, management of the balance sheet including cash management
  • Prepares financial statements and supporting schedules for reports and other project initiatives as may be required

Administration and IT

  • Processes government forms including GST/HST, annual Registered Charity Information Return and other annual requirements
  • Reviews and coordinates organization's insurance needs
  • Maintains office and capital equipment records and monitors office space
  • Oversees facility services through the shared occupancy agreement
  • Oversees the relationship with external consultant(s) in the design and implementation of IT systems
  • Manages adherence to Information Technology policies and procedures
  • Liaises with banks and other financial institutions as required

Qualifications and Skills

  • Postsecondary education in Accounting, Finance or Business with a minimum of 5 years of relevant work experience
  • Advanced working knowledge of Excel and QuickBooks
  • Detail oriented, organized, and able to meet tight deadlines
  • Proven prioritization, time management and project management skills
  • Proven ability to take initiative and work independently in a fastpaced environment
  • High level of professionalism and the ability to deal effectively with all levels in the organization
  • Excellent communications skills and writing abilities
  • Strong relationship building skills
  • Ability to work under pressure
