    Salary Range: S3, Level 3, $60,160- $75,200 per year. The final compensation for this position will be determined based on individual factors, including education, qualifications, experience, and internal equity.

    Administrative Coordinator – Hybrid

    The Opportunity

    The Alberta Energy Regulator (AER) is recruiting for an Administrative Coordinator to come support our Regulatory Compliance (RC) Branch. As the Administrative Coordinator, you will provide high-level administrative support to the Regulatory Compliance Branch and its Vice President, Directors, and teams. We are seeking an Administrator who is proficient in office administration, calendar management, event planning, travel coordination for multiple teams, and assisting on numerous ad-hoc tasks and projects as required.

    What your day-to-day will look like:

    • Provide back-up support to the Executive Assistant which includes direct support to the Vice President.
    • Manage the VP's emails and calendar, ensuring the VP is apprised of and fully briefed/prepared well in advance for all internal and external meetings, and relevant meeting materials are compiled as required.
    • Manage highly confidential materials with a high level of discretion.
    • Support the Field Operations teams; effectively triage and manage team correspondence in its various forms both internally and externally; email, mail, and phone.
    • Support to members and function of RC branch Senior Leadership Team (SLT), which could include SLT meeting administration, inbox and/or schedule management, maintaining the RC branch Org chart and other various spreadsheets and documents.
    • Prepare, edit, and format letters, correspondence, and emails in accordance with AER guides and templates.
    • Ensure communications are managed in accordance with Corporate Records Management standards and create awareness with staff to ensure standard are met.
    • Other administrative support as required.

    What we're looking for in you:

    • Post-secondary education in business administration or a related field.
    • 7+ years administrative experience.
    • Proficient with MS office applications, including MS Outlook, Visio, Word, Excel, Publisher as well as Microsoft Teams and running virtual based meetings.
    • Proven organizational skills including time management, ability to balance a dynamic workload and the ability to track and meet deadlines.
    • Proven track record working in a fast-paced environment- effectively managing conflicting priorities, collaborating with others, and exercising sound judgment within a team environment.
    • Excellent interpersonal and communication skills, both verbally and written.
    • A self-starter with the ability to work independently, with minimal direction with the ability to learn and adapt quickly to change.
