Position Summary:


Duties & Responsibilities:

Records and Registration_

  • Process and monitor registrations for new and returning students by coordinating with Loyalist College's counterparts.
  • Responsible for assessing, advising, and documenting information of students in a variety of escalated complex cases such as course retakes, withdrawals, etc.
  • Process updates to students' academic records as required. This includes amending grades, flagging records with academic holds and processing exemptions.
  • Maintain and process the types of received inquiries to ensure improvements can be made to voice mail messages, correspondence, web pages, calendars, etc.
  • Process student requests related to study permits, extension letters, fee updates etc
  • Ensure proper advice, information and directions are provided to members of the College.
  • Maintain and amend students' records.
  • Ensure guidelines of the Privacy Act and College policies are met.
  • Answer a variety of inquiries related to academic records.
  • Ensure utmost accuracy and integrity of the College.
  • Respond to inquiries within 23 business days.

Scheduling_

  • Assist in accurately scheduling all College's classes and inputting them on Lantiv Scheduling Studio.
  • Ensure that academic course timetables are produced within critical deadlines and are free of conflict.
  • Maintain the list of available courses.
  • Support approved instructor accommodations and physical space constraints.
  • Responsible for analysis and resolution of all scheduling issues.
  • Escalate major scheduling issues to the direct Manager.
  • Support the strategic planning of process improvement and oversight of implementation activities that ensure space is allocated in a way that maximizes efficient usage.

  • Proficient with MS Office Suite & Adobe Acrobat.
  • Proficient with Microsoft SharePoint

  • User experience with Lantiv Scheduling Studio and Canva (an asset)

  • Some evening and weekend work may be required.

Educational requirements and experience:


  • Bachelor's degree
  • Minimum of a 1year related experience in registration and enrollment of students at any educational institution or equivalent (an asset).
