Job Overview

We are seeking a highly organized and proactive Office Administrator to oversee daily administrative operations and support our team. The ideal candidate will have strong communication, organizational, and multitasking skills, with experience in office management, bookkeeping, and human resources. This role involves supervising staff, managing vendor relationships, and ensuring the smooth functioning of the office environment. The Office Administrator plays a vital role in maintaining efficient workflows and fostering a professional atmosphere.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Oversee clerical tasks such as filing, data entry, and document management
  • Supervise administrative staff and coordinate team activities to ensure productivity
  • Handle bookkeeping duties using QuickBooks, including invoicing, expense tracking, and financial record keeping
  • Assist with human resources functions such as onboarding, training & development, and employee record maintenance
  • Manage payroll processing and ensure timely payment to staff
  • Maintain vendor relationships and manage procurement of office supplies and services
  • Support budgeting processes by monitoring expenses and preparing reports
  • Uphold excellent phone etiquette and communication skills to interact effectively with clients, vendors, and team members
  • Ensure compliance with company policies and procedures while fostering a positive work environment

Experience

  • Proven experience in office administration or related roles with strong clerical or administrative background
  • Supervising experience preferred, demonstrating team management capabilities
  • Proficiency in QuickBooks for bookkeeping and payroll processing is highly desirable
  • Experience with front desk operations and multi-line phone systems is essential
  • Background in human resources functions such as onboarding, training & development is a plus
  • Strong organizational skills with attention to detail in filing, vendor management, and office workflows
  • Excellent communication skills coupled with professional phone etiquette are required
  • Prior office experience involving budgeting or financial record keeping will be advantageous

Job Type: Full-time

Pay: $17.20-$26.34 per hour

Work Location: In person
