Reporting to the Property Development Director, the Project Coordinator is responsible for the full project life cycle coordination of activities; including, but not limited to public consultation, RFP development, stakeholder management, cost control, scheduling and contract management to ensure effective execution and achievement of overall strategic project and overall business objectives.

This role requires a hands on, well organized, technically competent individual who is responsible for ensuring the Property Development Director and all affiliated stakeholders are supported in achieving project milestones.


Responsibilities:


  • Coordinate public consultation events and engage with the local community.
  • Support the management of the RFP process, including the development of RFPs,, managing submissions, developing shortlists, negotiating terms and communicating outcomes to consultants.
  • Assist in managing project consultants and contractors throughout the design, development, and construction phases.
  • Manage electronic and hard copy project files and FTP sites.
  • Support the development team by preparing consultant agreements, purchase orders, change orders, and internal commitments.
  • Conduct general research and market analysis.
  • Assist in the preparation, submission, tracking and securing of development permits and municipal approvals.
  • Conduct due diligence work and analysis for potential projects or properties.
  • Contribute to delivering major projects on time, within budget, and meeting quality standards.
  • Establish project plans and mechanisms for tracking and reporting to stakeholders.
  • Plan project timelines, phases, and milestones using appropriate software tools and methods.
  • Ensure projects comply with guidelines, building codes, and health and safety regulations.
  • Coordinate various consultants and ensure timely execution of deliverables.
  • Develop and maintain relationships with vendors, government authorities, and other stakeholders.
  • Coordinate construction and development efforts to align with design, budget, and schedule.
  • Review and comment on constructionrelated documentation in collaboration with project managers and consultants.
  • Resolve construction site issues.
  • Conduct project reviews and debriefs to identify areas for improvement and create "Lessons Learned" documentation.
  • Other duties as assigned.

Education, Qualifications and Skills:


  • Degree in Engineering or Construction Management with a focus on Civil Engineering or Architecture.
  • PMP certification is considered an asset.
  • Over 5 years of experience in project management and construction, encompassing residential and commercial projects, with a comprehensive grasp of project life cycles and contractual agreements.
  • Proficiency in analyzing monthly financial statements, crafting detailed budgets and cash flows, and projecting future outcomes.
  • Familiarity with pertinent regulatory frameworks, including zoning regulations, municipal approval procedures, building codes, safety protocols, fire safety standards, and environmental statutes.
  • Demonstrated commitment to maintaining a high degree of confidentiality in handling sensitive project information.
  • Outstanding organizational, time management, and prioritization skills; adept at managing multiple tasks amid competing demands.
  • Demonstrated professionalism within a collaborative team setting.
  • Exceptional written and verbal communication proficiencies.
  • Flexibility and willingness to travel.
