The Administrative Coordinator ensures the efficient and smooth operation of the front office. Supports the daily operations of the Executive Director, Board, and staff as directed by the Executive Director. This key position requires competency, administrative skills, and exhibits a high degree of professionalism.As the first greeter of the Center for Epilepsy and Seizure Education, the Administrative Coordinator displays a calm, confident and professional demeanour.
Responsibilities:
- Answer general phone inquiries in a professional and courteous manner.
- Direct or supervise phone inquiries to the appropriate staff.
- Respond to general requests for information in an accommodating manner.
- Receive clients/volunteers/visitors to the organization in a friendly but professional manner.
- Prepare and dispatch mail, and couriered parcels.
- Prepare reports and documents using Microsoft word 36
- Record and prepare minutes of meetings.
- Order, receive, pick up and store office supplies for all staff.
- Code and file material according to the established procedures.
- In conjunction with all positions, compile and keep track of monthly volunteer hours.
- Provide support to the Executive Director, and sometimes staff.
- Coordinate the maintenance of office equipment.
- Administer, record and report petty cash transactions according to established procedures.
- Prepare invoices.
- Process payments in office and at events.
- Prepare cheques.
- Assist Executive Director with Charity Returns, Gaming Reports and the annual budget.
- Assists in awareness events and activities.
- Assists with fundraising events.
- Assists with social media platforms.
- Compiles monthly newsletter.
- Other duties as assigned by Executive Director.
Job Type:
Part-time
Part-time hours: 20 per week
Salary:
From $21.00 per hour
Schedule:
- Day shift
- Weekend availability
Ability to commute/relocate:
- Abbotsford, BC: reliably commute or plan to relocate before starting work (required)
Education:
- Secondary School (preferred)
Experience:
- Front desk: 1 year (preferred)
- Administrative experience: 1 year (preferred)
