Commercial Process Associate - 16-month contract

Position Purpose

Under the supervision of the Commercial Process Manager, the incumbent is mainly responsible for processing, tracking, and monitoring, and maintaining Sales & Marketing purchase requisition, purchase orders, invoices, budgets, electronic funds transfer, and gift card orders among other tasks within the scope of the role.

The role requires a self-motivated and team-oriented individual with the ability to work effectively and efficiently with limited supervision.


Responsibilities

  • Review, Process and manage purchase requisitions for the Sales & Marketing group. Purchase Requisitions will be of high complexity in nature and require knowledge of internal marketing programs and budgets, tax coding and PR modification.
  • Verify and process invoices according to the established guidelines
  • Track and monitor all invoice spending by promotional budget, project and programs ensuring accurate monthly reconciliation against all projects.
  • Participate in month end/yearend process ensuring proper spending by program (GR accruals) supported by appropriate backup compliant to JTI policies & procedures.
  • Respond to internal and external inquiries and/or requests in a timely manner
  • SAP Purchase Orders review on a regular basis and problemsolving interaction with Procurement, Account Payable, Finance Tax, external suppliers and in some instance, vendors including blocked invoice resolution.
  • Ensure seamless PR/PO process while adhering to all JTI policies and internal JTI budget approval process
  • Review and follow up of invoice aging, noncompliant and blocked invoice report.
  • Other duties as assigned

Qualifications & Experience

  • Minimum first year college, postsecondary certificate or diploma would be beneficial
  • 13 years of SAP experience and understanding of PR creation are mandatory
  • 25 years administrative or customer service experience in a fastpaced teamwork environment
  • Advanced knowledge and skill level with MS Office products (advanced Excel, Outlook, Word)
  • Initiative, resourcefulness, accountable and pride in a job well done

Skills, Competencies & Languages

  • Ability to be highly organized with sense of responsibility and accountability, yet flexible in dealing with shifting priorities, fluctuating workloads, and evolving procedures.
  • Strong analytical ability and problemsolving skills with understanding of basic accounting
  • Must possess proficient written and oral communication skills
  • A selfmotivated and teamoriented individual with the ability to work effectively and efficiently with limited supervision, while maintaining positive staff relationships within a teamwork environment.
  • Bilingual is a strong asset (English & French)
