Bid Board Coordinator (Montreal)


The selected individual needs to have a keen eye for detail, as they will be required to ensure that bids are accurate, complete, and consistent. They will review all bid documentation, check for omissions, inconsistencies, or addendums, and ensure that the bid follows the client's specifications and guidelines. The bid Board Coordinator is the first point of contact for many of our customers and must ensure their requests are entered in an accurate and timely manner.

The successful candidate's responsibilities will include:

  • Keep Bid Board(s) up to date.
  • Intake and enter all RFQs (request for quotes) in ERP(s).
  • Communicates (written and oral) with all levels of management, sales, and customers.
  • Redirect requests unrelated to tenders/bids/RFQs.

The ideal candidate for this position will have:

  • Preferred High School diploma and 1+ years of experience in an administrative support role.
  • Strong written and verbal communication skills.
  • Strong computer background including experience with Word, Excel, and outlook.
  • Independent, self-motivated, able to take the initiative to improve the role and related processes.
  • Demonstrated reliability and professionalism.
  • Excellent organizational skills and the ability to juggle multiple priorities and interruptions while meeting deadlines in a fast-paced environment.

Coordinateur·rice du Tableau des Appels d'Offres (Montréal)

La personne retenue devra faire preuve d'une grande rigueur et d'un sens aigu du détail afin de garantir l'exactitude, l'exhaustivité et la cohérence des offres soumises. Elle sera chargée d'analyser l'ensemble des documents de soumission, de vérifier les oublis, les incohérences ou les addendas, et de s'assurer que chaque dossier respecte les exigences et les spécifications du client. Le ou la coordinateur(trice) du Bid Board est le premier contact pour de nombreux clients et doit s'assurer que leurs demandes sont saisies avec précision et dans les délais.

Les responsabilités de la personne sélectionnée incluront notamment :

  • Assurer la mise à jour du/des tableau(x) de suivi des appels d'offres.
  • Recevoir et saisir toutes les demandes de devis (RFQ) dans le ou les ERP concernés.
  • Communiquer, à l'écrit comme à l'oral, avec tous les niveaux de la direction, du service commercial et des clients.
  • Rediriger les demandes qui ne concernent pas les appels d'offres/tenders/RFQ.

Le profil idéal pour ce poste :


 

  • Diplôme d'études secondaires souhaité et au moins 1 an d'expérience dans un poste de soutien administratif.
  • Excellentes aptitudes en communication écrite et orale.
  • Maîtrise de l'informatique, notamment sur Word, Excel et Outlook.
  • Autonomie, motivation et capacité à prendre des initiatives pour améliorer les missions et les processus associés.
  • Fiabilité et professionnalisme avérés.
  • Excellentes compétences organisationnelles et capacité à gérer plusieurs priorités et interruptions tout en respectant les délais dans un environnement dynamique.
