This is a one-year maternity leave replacement position in the McGill Engineering Student Centre


Position Summary:


Provide the integration of McGill's values, standards, and goals with respect to student life and learning into University policies, operations and procedures.

Ease students' integration into University life, support students' learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment.

Provide student admissions and enrolment services for undergraduate, graduate, certificates and diploma programs. Participate in student recruitment fairs, student exchange programs, convocation and graduation activities. Oversee government reporting and compliance.

Offer a variety of student services including career planning, campus life and engagement, scholarships and student aid, counselling and tutorial, health and mental health, international student services, immigration, services for students with disabilities, religious life, and other programs.

Offer student affairs services including advising, student records, registration and exam and invigilation activities. Offer programs related to athletics and recreation


Primary Responsibilities:

  • Provides information to students at the undergraduate level on a wide variety of issues. Provides guidance and support regarding academic performance, academic programs and courses, and possible alternatives. Recognizes and encourages students to seek counselling where necessary.
  • Answers questions related to student records, student affairs, registration, transfers, readmission, exchanges and general inquiries.
  • Assists in the evaluation of degree completion for students who have applied to graduate.
  • Assists with the processing of academic disciplinary cases.
  • Supports nomination, selection, offer, acceptance, and documentation for all Faculty graduate awards/funding packages, as well as nonFaculty funding programs and special external awards
  • Prepares graduate financial aid allotments memos and updates processes and procedure guides and nomination spreadsheet.
  • Attends regular meetings with Graduate Program Directors & Coordinators, communicates key information regularly.
  • Communicates with supervisors and students related to funding packages.
  • Liaises with Graduate & Postdoctoral Studies to ensure smooth communication and change management.
  • Performs annual tracking of award recipients' academic progress over duration of award.
  • Produces donor reports for University Advancement.
  • Completes graduate studies data mining requests (e.g. enrolment, admissions, Engineering PhD Incentive Program).
  • Monitors websites and provides website content updates to communications officer.
Other Qualifying Skills and/or Abilities


Seeking an individual who is enthusiastic to provide support to students, and who would take pleasure in administering student awards, tracking data and making use of spreadsheets.

This individual must have demonstrated organizational skills and the ability to multi-task. Student Affairs experience required. Proven ability to prioritize, meet deadlines, make decisions and implement administrative procedures. Demonstrated ability to listen to and assist undergraduate and graduate students with problems. Experience administering student awards, preparing statistical reports and tracking large amounts of data. Client-focused and service-oriented. Attention to detail. Demonstrated ability to work in a PC environment using Microsoft Office, databases, spreadsheets, (Excel), Minerva and BSAC.


Knowledge of French and English:

McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.

The level of English required for this position has been assessed at a level # 4 on a scale of 0-4.
