Supervised by the Director of the Graduate Centre for Academic Communication (GCAC), the Administrative Assistant ensures the smooth operation of all GCAC offerings by performing a range of administrative and secretarial duties related to those offerings: duties such as maintaining the GCAC website, managing the course registration system, providing technical support and training to GCAC's teachers, and preparing formal reports.

The Administrative Assistant is often the first point of contact for students and faculty accessing GCAC, and since GCAC teaches advanced communication skills, it is essential that the Assistant have a welcoming manner and clear and error-free English language skills, both in speech and in writing.


Your responsibilities will include:


  • Coordinating program schedules with stakeholders. Determining work priorities based on knowledge of deadlines.
  • Disseminating and collecting surveys and questionnaires. Liaising with stakeholders to support initiatives.
  • Acting as a first point of contact for internal and external auditors. Determining logístical details and activities for events and/or programming.
  • Liaising with stakeholders to coordinate space and resource requirements. Coordinating the schedule for academic calendars.
  • Coordinating meeting schedules, agendas, materials, action and followup items. Handling sensitive and/or confidential information. Generating reports.
  • Providing detailed information to students on program and/or course requirements. Scheduling appointments for prospective students, applicants, and current students to address individual needs.
  • Acting as the first point of contact for general enquiries. Responding to enquiries within the defined scope of the role and redirecting as appropriate.
  • Troubleshooting timetabling and/or room booking conflicts. Monitoring program accounts. Directing the activities of casual staff.

Qualifications:


Essential Qualifications:


  • Bachelor's Degree or an acceptable combination of equivalent experience.
  • Minimum three years of related experience.
  • Advanced knowledge of online student registration systems
  • Advanced computer skills: advanced Microsoft Office 10 or higher (Word and Excel, PowerPoint), Wordpress, HTML, and Outlook
  • Ability to adapt quickly to new and emerging technologies
  • Excellent organizational and prioritysetting skills
  • Ability to multitask and pay attention to detail in a fastpaced environment; ability to meet deadlines
  • Ability to work independently and to take initiative in driving efficiencies and productivity
  • A strong team player, with a commitment to ensuring a studentfocused work environment
  • Superior interpersonal skills including exercising discretion, tact and good judgment
  • Ability to convey messaging that is clear and concise, and to communicate in a manner that is sensitive to U of T's ethnically and linguistically diverse student body
  • Excellent, clear and errorfree English communication skills, both written and oral
