Key Responsibilities
- Responsible for administering all mail room duties
- Processes all incoming and outgoing mail distribution.
- Handles invoices with respect to distribution to appropriate areas/yards for approval.
- Processes all overnight courier services.
- Support Facilities team with operational office moves, and deliverables.
- Support Facilities team with onboarding and offboarding staff
- Prepares mailroom related invoices for processing by accounts payables.
- Maintains the Mail Room, ensuring it is fully stocked with certain materials.
- Coordinates emergency evacuation plans, procedures, and drills in conjunction with the Office Manager
- Learns, interprets, and applies organizational policies, laws, rules and regulations.
- Printing and organizing reports, maintaining filing systems, and establishing work priorities.
- Meets and greets all visitors in positive friendly manner.
- Relief and backup for Receptionist
- Assists Facilities team in all aspects of Etobicoke Head Office operations as needed.
Required Knowledge and Experience
- Good computer skills, using Word and Excel
- Strong communication skills, dealing tactfully with employees, visitors and customers
- Possess several years office related experience
- Knowledgeable on modern office methods and procedures, equipment and filing systems
- High school and minimum one year of postsecondary education
